Job Description:

This position, under general supervision, advises graduate students concerning the academic requirements for their chosen program. This position is responsible for assisting graduate students in the College of Liberal Arts (CLA) with understanding the processes for admissions, registration, and course selection. This position provides information on and refers students to University resources that can assist in meeting their needs or solving problems; communicates accurate and timely information and interprets institutional and major requirements. May supervise projects.

Primary Responsibilities:
  • Advocate for student needs associated with their educational and academic program. Clearly communicate accurate and timely information to students and interpret institutional, general education, and major requirements per the university catalog. Exhibit strong, active listening skills. Help students develop a realistic self-perception and successful transition into the university and help them to establish realistic goals for future endeavors.
  • Direct students to resources, programs and services on campus when it is appropriate to do so. Help students integrate information so that they may make well-informed academic decisions. Work to establish a partnership with students that will guide them efficiently through their academic program.
  • Document advising contacts adequately to meet institutional disclosure guidelines and aid in subsequent advising activities. Assist students with course selection, the registration process (including registration system authorization per course when necessary), processing various academic forms, and following up on processed forms to ensure that the student's record accurately represents the student's chosen major, concentration, and catalog year. Maintain communication with CLA Graduate Program Coordinators regarding student issues, assistance with catalog rules, and the procedural tasks for tracking student progress.
  • Monitor students' advising requirements. Notify students of academic and faculty advising requirements when certain conditions have or have not been met. Maintain accurate and complete student file documentation. Stay apprised of curriculum changes that will impact the CLA graduate student population and assist the Associate Dean in informing faculty and graduate coordinators of any catalog changes that may affect students in CLA programs.
  • Perform appointment preparations including, but not limited to, reviewing all accessible academic records for accuracy and appropriateness of course work, communicating with academic departments for program-specific transfer equivalencies, and requesting the posting of approved transfer courses at the post-bac and graduate levels. Participate in retention efforts in conjunction with CLA Graduate Program Coordinators including requiring probationary students to schedule appointments and discuss university guidelines and expectations at the graduate level.
  • Work with CLA Program Coordinators and CLA Dean to facilitate all processes related to graduate programs including, but not limited to: correspondence with current students on behalf of graduate coordinators; assistance with records holds; tracking of all Theses, DIS, Internships, and other courses as required.
  • Maintain a professional and cordial liaison with administrators, faculty, staff, students, and other involved constituents concerning advisees and program. Track and obtain documents needed for potential and current students from other constituencies on campus. Certify students for graduation. Ascertain that all academic, college, and university requirements are met following all university rules and policies.
  • Collaborate with CGS Audit and Compliance Coordinator regarding monitoring student progress to degree and graduation clearance.
  • Support College of Graduate Studies (CGS) activities and events.
  • Provide additional support to CLA, including attending monthly Associate Dean/Graduate Coordinator meetings and once-a-semester Associate Dean/Advisor meetings.
  • Attend TAMU-CC Commencement ceremonies on a rotational basis.
  • Perform other duties as assigned.


Qualifications:
  • Bachelor's degree.
  • Two (2) years of related experience in academic advising or working with students in higher education.
  • Intermediate skills in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook), databases, and spreadsheets.
  • Excellent listening, written, and verbal communication skills.
  • Ability and willingness to work as a team member and to work independently.
  • Demonstrated initiative and follow-through skills; tact, diplomacy, and judgment in dealing with students, parents, faculty, and administrators.
  • Detail-oriented and demonstrated ability to multi-task in a fast-paced environment.
  • Ability to work outside normal business hours and work weekends as needed.


Preferred Qualifications:
  • Master's degree.
  • Two (2) or more years of experience advising students in higher education.
  • Experience with Banner, Argos, Starfish, and Degree Works.
  • Demonstrated knowledge of developmental academic advising methodologies.
