Required Qualifications Associate's degree from an accredited college or university in a related field and a minimum of four years and progressively responsible experience in administrative support positions, including two years at the Administrative Assistant 1 level

OR

High School Diploma, GED, or equivalent from a State or Federal accrediting organization and seven years, progressively responsible experience in administrative support positions.Knowledge, Skills, & Abilities

  • Excellent interpersonal, written and verbal communication skills
  • Proficient in Microsoft Office and other computer software/databases
  • Detail-oriented with strong organizational, time management, prioritization and multi-tasking skills
Preferred Qualifications Experience in student affairs, student services, or auxiliary services section of higher education; strong human resources ability; financial or budget aptitude.Responsibilities The responsibilities include, but are not limited to:
Administrative Support:
Serve as the administrative assistant and office manager for the (AVP for Student Affairs) to include tasks such as travel authorizations, expense statements, check requests , P-Card statements, personnel hiring/PCF, Position Review Request, monthly budget reconciliation, prepares and processes requisitions, and correspondence. Schedule meetings and meeting locations, conference room and enter approved time into employee payroll system.
Administrative Duties:
Manage the (office or reception area for AVP for Student Affairs). Supervise the student assistants. Answer telephone calls and greet visitors to the office. Manage equipment inventory and space inventory. Administrative & Budgetary Support:
Assist and provide administrative and budget support to departments, including, but not limited to monthly reconciliation and keeping department advised of budget status.
Events:
Provides support for divisional campus events and other events on campus. Customer Service:
Assists students, faculty, staff, parents and Visitors with questions or problems.
Other Duties:
Perform all other related duties/tasks as assigned.Job Summary Position serves as the Administrative Assistant to the Assistant Vice President for Student Affairs. The position is responsible for assisting the AVP with operations of Campus Recreation [Club Sports, and Intramural Sports), Housing & Residence Life, Multicultural Student Engagement, Student Life Engagement and Maxwell Theater. The Individual oversees the human resources function for the portfolio including processing and documentation for 40 full-time employees and over 100 student assistants. The individual will be responsible for multiple administrative roles In the Student Affairs office including day-to-day scheduling, budget tracking, purchasing, Inventory, and the supervisor of student assistants.
