Overview

The Entrepreneurship & Innovation Department at Macalester College is seeking a creative, adaptive Administrative professional to join their dynamic team. This is a fabulous position for someone with a creative mindset, who seeks to implement new, innovative and healing solutions beyond the status quo, and believes in improving existing ideas to positively impact the world around them. The Department Coordinator will work in direct collaboration with the Director to implement the strategies and activities related to the department while coordinating all scheduling, maintenance and inventory of the Idea Lab. In addition, this role directly supervises 18 student workers. Professional communication, organization and ability to work independently are essential.

 

About Entrepreneurship & Innovation Department and Idea Lab: 

 

Entrepreneurship and Innovation (E&I) at Macalester inspires students to put their ideas into action, working with students and the broader Macalester community to nurture ideas and fuel innovation to bring about transformative change. E&I creates opportunities for students year round working in 4 broad categories: Entrepreneurship and Innovation mindset development, team and project based learning, apprenticeship opportunities, and global learning experiences.

The Idea Lab is community-oriented, dynamic workspace designed to encourage collaboration by giving the tools and support needed to unleash creativity and release stress, to brainstorm and innovate, to collaborate and befriend, and to re-center and heal. The space hosts student-led workshops of every variety to give students opportunity for self-expression and discovery, while making art accessible and inviting to all. The Idea Lab is also a space where faculty augment traditional classroom learning into a realm of creative, hands-on problem-solving. The student staff Infuse the space with energy and ideas through providing encouragement, support and connection to ALL students, while modeling collaboratively what curiosity means to them. Responsibilities

Administrative Support and Event Planning:

  • Provides direct administrative support to the Director, Program Manager and the Department of Entrepreneurship and Innovation. This includes taking minutes at meetings, developing organizational processes and record keeping through paper and electronic files, ordering office and departmental supplies, coordinating onboarding logistics, and working with departments (i.e. Student Employment, IT, Facilities, Catering, etc.) to help the department achieve its mission. Ensures that space is clean, safe, and welcoming.
  • Helps to maintain the Entrepreneurship and Innovation website 
  • Coordinates communication efforts to help the department promote programs, workshops and events and tell its story through the use of social media, the department’s website, Mac Daily posts, the events calendar, etc.
  • Supports Program Manager with programmatic logistics for events, programs and meetings, including space reservation, ordering and purchasing goods, assisting with contracts, calendaring, and communicating with diverse groups of people to ensure engagement through various modalities.
  • E&I programs that will be supported include Live It Fund, MacNest Summer Internship and MacNest Climate Justice.
  • Supports the full cycle of Entrepreneurship & Innovation marquee event, Macathon and staffs the event.

 

Idea Lab Coordinating:

  • Maintains the Idea Lab to ensure it is well maintained and organized. 
  • Leads tours, cleans and updates the space regularly.
  • Monitors inventory and orders supplies and equipment as needed for workshops, class visits and space generally, submits work orders. 
  • Repairs equipment and supports the user's needs.
  • Manages Idea Lab calendars and coordinates reservation requests and scheduling for space.
  • Plan and organize events and programming for the Idea Lab 
  • Maintains an accurate database to track engagement in Idea Lab. 
  • Tracks budget expenditures for Idea Lab.

 

Student Staffing:

  • Recruits, hires, trains, and supervises 18-20 student employees. 
  • Coordinates student staff schedules and approves time cards.  
  • Cultivate an environment of equity and inclusion.
  • Coordinates logistics for student staff meetings. 
  • Coordinates student staff goals that comply with Entrepreneurship & Innovation vision and departments needs then delegates tasks and projects and organizes workflow to ensure students understand their duties and ensure they are completed. 
  • Ensures student collective work hours stays within overall budget and adherence to policies and requirements of the Student Employment department.
  • Coordinates all student paperwork and compliance issues.
Qualifications

 

  • Someone who is curious, flexible, hardworking and conscientious 
  • 1-3 years of experience in an administrative support role; experienced event planning, detail oriented and comfortable taking initiative 
  • Demonstrated experience manageing budget and analysis.
  • Effective project management, analytical skills and excellent organizational skills for event management.
  • Strong experience with scheduling and calendar management. 
  • Must have strong communication skills, ability to write clearly, ability to work independently in a large, busy department, ability to supervise and direct student employees.
  • Must be able to handle multiple projects and priorities at the same time in a busy, demanding environment and work with many interruptions.
  • Demonstrated commitment to equity, inclusion, and diversity. Actively engages in learning and practicing principles of social justice and inclusion to increase individual capacity to support institutional changes that create and sustain a more welcoming and inclusive environment across the Macalester Community.

 

Compensation & Benefits: 

The total compensation for this position includes an hourly wage of $19.54-$22.90. This role is year-round, 1.0 FTE and offers full access to Macalester’s competitive benefits package.
