The Position

Under the direction of the provost and vice president for academic affairs, the registrar provides strategic leadership to plan, organize and manage all activities related to student records compilation and maintenance in compliance with federal regulations, state law and accrediting agencies requirements; registration activities in accordance with College academic protocol and prerequisites and internal reporting needs; and transcript audit for all graduation candidates. As a member of the academic affairs leadership team, the registrar works with various departments in implementing academic policy to ensure that all processes relating to the matriculation and graduation of all undergraduate and graduate students are administratively sound and operationally efficient. All functions are accomplished in accordance with institutional academic policies and practices as well as with rules of other external regulatory or accrediting agencies. The registrar is currently responsible for supervising four staff members and several work study students. The registrar and staff are committed to providing all constituents (students, faculty, staff, alumni) an inviting, technologically advanced, supportive college experience consistent with Hood College’s mission. Additional responsibilities include:

  • Providing a clear vision for the Office of the Registrar and appropriate leadership in a comprehensive strategic plan to meet the ongoing challenges of educating students in today’s global competitive environment and current regulatory atmosphere.
  • Overseeing administrative and operational activities associated with the collection, maintenance,and dissemination of students’ academic records.
  • Developing class schedules and academic calendar, including long-range planning thereof, in consultation with appropriate administrators, faculty, and staff.
  • Coordinating the dissemination of information on courses offered and procedures students are required to follow in order to register, to obtain transcripts, and to apply for graduation.
  • Partnering effectively with the Division of Enrollment Management to facilitate registration of all new and transfer students, as well as international students.
  • Overseeing the evaluation of transfer-related transcripts and other credentials.
  • Overseeing registration for summer sessions, fall and spring semesters, winter term and special-term academic offerings of the College.
  • Consulting regarding the interpretation and implementation of relevant immigration regulations regarding student enrollment in partnership with the PDSO.
  • Overseeing the development and maintenance of accurate degree audit systems and certification of students for graduation/graduation clearance.
  • Assisting the Associate Registrar in coordinating with the Graduate School on issues regarding graduate student registration and progression.
  • Serving as a member of Provost Council, as well as standing committees of the faculty (Curriculum Committee, Academic Standards and Policy Committee), and implementing the directives of these committees as necessary.
  • Providing leadership and oversight to develop appropriate recommendations for the of related technology applications in support of enhanced services offered through the Office of the Registrar.
  • Preparing internal and external reports, surveys, and studies, including data analysis to support College planning and retention and other institutional research.
  • Serving as an engaged and active partner with academic leadership to help streaming office processes in order to improve efficiencies and deliver outstanding end-user services.

Qualifications

A bachelor’s degree is required; a master’s degree is preferred. Applicants must have at least ten (10) years of increasingly responsible experience in higher education in a student service, planning and record- related environment. Direct experience within a college or university Office of the Registrar is required. Supervisory experience is required. Strong interpersonal and communication skills and a proven record of working successfully with diverse populations is required. Additionally, the ideal candidate will possess strong proficiency in using student information data bases (such as PowerCampus and Self Service) and experience identifying and implementing innovative technology solutions to solve problems and maximize customer service. Understanding of enrollment and marketing theory preferred.
