The University of Virginia seeks an Experiential Learning Program Coordinator to join the Employer Relations and Experience Team in the UVA Career Center. This team is responsible for creating hands-on, experiential learning opportunities for students to engage in skills-based exploration. The team collaborates with colleagues within the UVA Career Center such as Career Communities and the Exploration Team, as well as partner career center offices across the university.

The Coordinator reports to the Associate Director for Experiential Learning & Life Transforming Programs. This role has the primary responsibility for coordinating program logistics related to experiential learning initiatives. The role also supports the logistics and coordination of experiential learning programs within the business and technology career communities.

What you will do:

Program Coordination

  • Coordinate program logistics related to experiential learning programs including but not limited to: setting up registration processes, reserving and setting up venues, facilitating communications, and building relationships with program applicants and participants
  • Collaborate with Experiential Learning and Career Communities Teams to support the design and delivery of experiential learning programs
  • Create virtual learning management sites and upload program materials and assignments
  • Create and update program schedules
  • Take notes at program design and planning meetings and send out to team
  • Schedule meetings and create calendar invites for programs
  • Track attendance at program sessions and follow up with any absent participants
  • Reserve rooms and/or create zoom links for programs
  • Order food and make purchases related to experiential learning programs

Customer Service & Business Operations

  • Liaise with experiential learning program stakeholders including students, alumni, and employers to support program success
  • Respond to student, alumni, and employer questions about programs
  • Meet directly with students during office hours and information sessions
  • Troubleshoot student and alumni technical challenges and resolve any questions
  • Serve as back up for business operations in the Career Center including tasks such as front desk coverage, event planning, and budget logistics

Assessment & Data Analysis

  • Support pre-/post program assessment
  • Design assessment instruments that align with program learning objectives and goals
  • Monitor micro-internship applications and send weekly updates to team
  • Track program outcomes and share updates with Career Center staff and collaborators

Marketing and Communications

  • Collaborate with marketing coordinator to implement communications and website updates that support program outreach and growth
  • Monitor program enrollment numbers and support marketing as needed

Additional Responsibilities as Needed

  • Update experiential learning web pages and marketing materials to promote programs
  • Research ways to improve experiential learning programs

Required Qualifications

  • Bachelor's degree and at least 1 year of program Coordination and/or event Management experience
  • Excellent communication and customer service skills
  • Experience working with college students in a higher education setting
  • Strong organizational skills and attention to detail
  • Ability to prioritize and manage multiple projects at the same time
  • Data analysis and experience with Excel/data visualization
  • Experience working with learning management systems (LMS)

Preferred Qualifications

  • Previous work experience in career services, student activities, and/or human resources
  • Experience with program design and assessment
  • Experience working with technology platforms like Handshake, PeopleGrove, and Collab
  • Inspired by the mission to engage and support students in the discovery and pursuit of meaningful lives
  • Interested in building a career in Higher Education and Student Affairs
  • Demonstrated ability to learn new skills and develop professionally
  • Ability to work effectively in a team environment

Anticipated Hiring Rage: $47,000 - $52,000

The selected candidate will be required to complete a background check prior to their first day of employment and a health screening per University policy.
