Job Summary
Works independently to perform duties under general supervision of the Director of School of Social Work and the Administrative Analyst to maintain the efficient operations of the School of Social Work.
Key Responsibilities
- Oversees the office reception area
- Answers and directs incoming phone calls to appropriate personnel
- Serves as the School’s technology support point person, (e.g. web updates and content management, computer and equipment logins (i.e., with office computers, laptops, copiers, and phones), and general use of other technology (DVD players, projectors and monitors, cameras, scanners, virtual equipment, etc.)
- Identifies, implements, and maintains up-to-date electronic software programs including office subscriptions to MS Office Suite, Adobe products, SPSS, etc.
- Ensures functioning of office equipment and submits work orders for repairs
- Maintains and reserves conference rooms, laptops, projectors, and other equipment for faculty members, and other departments on campus
- Assists Faculty on day-to-day tasks
- Manages and maintains the School directory both in print and electronic formats
- Manages School mail, faculty/staff mailboxes, collection and delivery of special or confidential documents
- Manages student records in both paper and electronic formats as needed
- Assigns office space for part-time faculty each semester
- Assists the School in developing and utilizing program application procedures
- Coordinates collection and processing of electronic applications
- Develops and integrates newer technology to further enhance admissions processes. (e.g. YouTube, podcasts, Facebook, and Twitter.)
- Assists in the scheduling, hosting, and follow-up for informational sessions, orientations, and other related trainings
- Assists with faculty meetings, agendas, and minutes Assists with faculty hiring including background check, scanning and uploading faculty appointment forms, setting up DocuSign, etc
- Assists with course scheduling and SOTES selection
- Assists with CSWE surveys
- Processes students’ forms and e-filing of students’ forms, including but not limited to candidacy and graduation forms, changes of major, grading forms, and similar documents
Knowledge, Skills & Abilities

- Thorough knowledge of methods, procedures and practices; English grammar, professional writing, punctuation, and spelling.
- Ability to compose and appropriately format correspondence and reports
- Working Knowledge of software applications: Word processing, spreadsheets, database management
- Ability to perform accurately in a detail – oriented environment
- Ability to handle multiple work priorities, organize and plan work and projects
- Ability to maintain confidentiality and appropriately handle sensitive communications with employees and external agencies
- Ability to learn quickly and apply a variety of state, federal, CSU, and SJSU policies and procedures
- Demonstrated Knowledge of Microsoft Office Skills
- Advanced technology skills including familiarity with web technology, computer equipment, and multiple software applications
Required Qualifications
- Completion of a high school program, technical/vocational program, or their equivalents
- Two years of related office work experience or a combination of education and experience which demonstrates the ability to perform the essential functions of the position
Preferred Qualifications
- Some college
- At least two years of administrative experience in office and/or educational settings
Compensation
Classification: Administrative Support Coordinator I
Anticipated Hiring Range: up to $3,607/month
Salary Range: $3,064month - $5,148/month
