The Department of Emergency Medicine has an opening for a full-time, University Staff (unclassified) Business Services Senior Professional, Special Projects Coordinator position.

Nature of Work:

The University of Colorado (CU) | Anschutz Medical Campus is seeking applications for a Business Services Senior Professional, Special Projects Coordinator. This full-time, University Staff position is responsible for providing high-level, complex operational support and project management for the Chair of the Department of Emergency Medicine. This position will be a hybrid position, which can be approximately 2-3 days a week remote.

Examples of Work Performed: 

    Manages the Department Chair’s email Inbox to develop an organizational system to prioritize incoming messages and manages follow up; manages information flow in a timely and accurate mannerProvides support for scheduling and coordinating various projects/meetings through email management In-person support for set-up of complex meetings and back up scheduler for Chair of Department of Emergency Medicine when the Chair’s Executive Assistant is out of the office.Coordinates Departmental meetings for research and administrative priorities.Records, transcribes, and distributes meeting minutes and summarizes in a timely manner.Arranges corporate travel and meetings by developing itineraries and agendas, booking transportation, arranging lodging, coordinating meeting accommodations, and assisting with reimbursements.Responds to both internal & external confidential inquiries related to the Department of Emergency Medicine.Develops PowerPoint presentations, written executive summaries, administrative-related research documents; adds additional content/detail based on high-level descriptions. Serve as project manager for initiatives in the departmentPlan, direct and coordinate projects to ensure on-time completions within budgetPerform quality control on projects throughout development to maintain the standards expected.Proactively handle project issues and/or risks

Qualifications
Minimum Qualifications:

    Bachelor’s degree. Four (4) years of executive or high-level administrative experience in an academic, health care, and/or business related environment.One (1) year of program and/or project management experience.Effective oral and written communication skills;
Required: Applicants must meet minimum qualifications at the time of hire.

Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis, but not for the specific experience.

PLEASE NOTE: Candidates will be responsible for travel expenses related to the interview process and any relocation expenses, if applicable.

Preferred Qualifications:

    Five (5) years of executive or high-level administrative experience in an academic, health care, and/or business-related environment.Professional and progressively responsible project management experience.Experience working in an academic medical environment.Competencies/Knowledge, Skills and Abilities:Present and maintain a professional, polished, and positive demeanor/disposition while working with internal and external stakeholders in a dynamic, high-paced environment.Ability to handle sensitive and confidential issues in a professional manner.Ability to prioritize and get back on task after interruptions.Excellent attention to detail.Self-starter with a proven ability to organize and follow through on multiple complex tasks and projects simultaneously.Desire to work in a dynamic, fast-paced team environment.Ability to work with a diverse group and competing interests.Flexibility and the ability to adapt to various situations.Excellent interpersonal (verbal and written) communication skills.Excellent customer service skills and the ability to work with diversified internal and external stakeholders and communicate effectively via phone, email, and in person.Excellent time management and organization skills; ability to take direction and use independent judgment to meet multiple deadlines. High level proficiency in Microsoft Office including Teams, Excel, Word, PowerPoint and Outlook, in virtual platforms such as Zoom, online databases such as Dropbox and Google Drive. and interactive databases such as Smart Sheets Ability to plan, develop and coordinate multiple projects and meet deadlines.Ability to make administrative/procedural decisions/judgments on sensitive and confidential issues.Knowledge of basic office equipment (phone, fax, copier, projector).Ability to switch gears at a moment’s noticeAbility to monitor ongoing inquiries and ensure they have been addressed in a timely and effective manner.
Salary and Benefits:

The salary range (or hiring range) for this position has been established at $48,137 to $65,000.  

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.
