This part-time (3 days per week) Program Coordinator manages various functions related to office management, program events and communication efforts. Tasks include promoting news and events through social media, managing website and program system content and data, managing various events including alumni functions and graduation, executing various tasks related to office management and graduation verifications, and providing overall assistance to faculty and staff. This position assists in application evaluations for admissions.Examples of Work Performed:General Operational Management (40%)
- Independently manage and make decisions pertaining to various operations.Respond to in-person, written, and telephone requests from students, applicants, and colleagues.Order supplies including ensuring office equipment is working property and troubleshoot issues as arise. Complete graduation verifications, work orders, and leave tracking.Provide event and interview support. Coordinate yearly completion of Webspace & department Asset tagging. Participate in committee meetings and proctor exams.
- Write and compile content for the quarterly program newsletter.Promote news and events through social media.Manage all processes related to graduation and the White Coat ceremony.Complete coordination and planning of alumni and student events.Assist in engaging alumni through committee involvement and program initiatives.
- Complete applicant file reviews to determine appropriate qualifications.Serve as backup for admission support functions.
- Maintain and create website content, including posting jobs and assisting in a yearly comprehensive review.Import student assessment and contact information into program data system. Assist faculty and staff with projects, including entering content in the curriculum map and assessment system. Provide overall support for various administrative and didactic functions.Serve as backup for financial processes.
Qualifications
Minimum Qualifications:
- A bachelor’s degree in business, business administration, communications, education, social sciences, healthcare administration, public administration, human resources, liberal arts, organizational development, or a directly related field from an accredited institution.Two years of administrative experience in a professional setting.
- Three years of high-level administrative experience in an academic, health care, and/or business related environment.Experience working within an academic and/or medical environment.Experience with Concur, Marketplace, and other University systems. Experience with event planning and/or social media content in a professional setting.
- Ability to communicate effectively, both in writing and orally. Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.Outstanding customer service skills.Demonstrated commitment and leadership ability to advance diversity and inclusion.Highly developed skills and abilities to manage an executive level calendar and email in an effective and efficient manner. Ability to exercise tact and diplomacy in a variety of situations.Ability to work independently and with sole responsibility for initiating and completing tasks.Ability to assess a situation and initiate an appropriate action or response.
