Departmental Overview

The Coleman Fung Institute for Engineering Leadership (Fung Institute) is headquartered at UC Berkeley's College of Engineering. Our mission is to shape generations of technical leaders to innovate across boundaries. The Fung Institute achieves its mission through teaching, research, and service activities. The Institute is home to the Berkeley Master of Engineering (MEng) program and undergraduate Fung Fellowship program together serving nearly 700 students. This role involves managing and developing systems and processes to improve the student experience across the entire organization. This role supports the student capstone experience, assisting in partnership management, and leading internal organization and administrative projects to support the mission and students at the Fung Institute. Provides programmatic administrative and project management support as needed, per guidance from program leadership. This role leads exciting projects related to data, partnerships, and experiential learning and develops key strategic frameworks and models to measure and drive impact within the Institute.

Responsibilities

40% Data Driven Student Experience and Engagement:
  • Manages and utilizes qualitative and quantitative data to drive the student experience and influence programmatic changes and improvements. Assists in the management of databases, online student portals, and key program metrics.
  • Support survey development and data collection, management, and evaluation of students, alumni, instructors, and Institute partners.
  • Works with program directors and managers to develop expected outcomes and evaluation metrics of student experience considering climate, inclusion, professional, and academic development.
  • Analyzes data to identify areas for program improvement and makes recommendations to program leadership. Works with teams in the ongoing development and refinement of core student programming and experience.
  • Receives and responds to initial students' inquiries surrounding enrollment, course credit, and event attendance. Clarifies specific policies, deadlines, and procedures for students. Fields and manages general program requirements and forwards student requests to faculty/staff advisors as needed.
  • Leads the onboarding and exiting procedures and processes for Fung Institute students. This includes working directly with students and program staff and collecting and maintaining documentation.

30% Program Management and Coordination:
  • Supports shared work flows, documentation and databases across all aspects of the Institute. May include: FI operations, student experience, industry partnerships, student capstone projects, student and alumni engagement.
  • Supports data management and identification of key metrics compiled from various specified sources to ensure effectiveness of the Institute and its programs.
  • Assists in partner outreach and managing correspondence, reports, and records to document and track progress. Manages communications with internal and external entities.
  • Works closely with program staff and advisors to achieve program
  • goals for the student experience, external partnerships, and alumni engagement.
  • Oversees, plans, and administers a range of administrative operations and leads data driven projects within the Fung Institute for the graduate and undergraduate student programs to enhance the student experience. Provides programmatic and project management support as needed. Supports key staff and personnel throughout the Institute.

25% Capstone Planning and Management:
  • Works closely with program leads to create and maintain databases for relevant stakeholders. Develops and maintains dashboards and success metrics, including survey design and implementation related to the student capstone experience.
  • Develops and refines current user guides for Fung Institute platforms & manuals and shares with relevant stakeholders.
  • Provides administrative support to the MEng and Fung Fellowship Student Capstone Experience and other related events and experiences as needed. Assist the management and adherence to event and program timelines.
  • Responsible for developing, implementing and maintaining assessment structures for student teams and other student-facing programs.

5% Professional Development:
  • Add to existing skills and develop new skills through participation in staff organizations, professional organizations, workshops, conferences, training, and other educational or networking opportunities.

Required Qualifications
  • Working knowledge in administrative procedures and processes including word processing, spreadsheet and database applications. Proficiency with PC based software (MS Office—Word, Excel, PowerPoint, etc.), Google Apps, spreadsheet and database applications.
  • Ability and willingness to learn new online systems and other new software/technology.
  • Ability to effectively summarize information, develop reports, and create information documents.
  • Excellent verbal and written communication skills, active listening, critical thinking, multi-task and time management skills with an attention to detail.
  • Ability to work with a variety of stakeholders, while performing consistently in an environment of competing demands and deadlines, frequent interruptions, and fluctuating workloads.
  • Ability to interact effectively with faculty, staff, students, and industrial partners while demonstrating tact and diplomacy.
  • Comfortable and flexible in a fast changing environment and able to execute under time constraints.
  • Strong organizational skills and demonstrated experience in establishing priorities, following plans and completing goals/objectives in a timely manner.
  • Ability to work independently and as part of a team, research and resolve problems, as well as follow through on projects and assignment.
  • Ability to work with a supervisor to improve processes and create best practices, exercising discretion to solve non-standard problems.
  • Bachelor's degree in related area and / or equivalent experience / training.

Preferred Qualifications
  • A minimum of 3 years administrative and academic program experience is strongly desired.
  • Knowledge of University policies, protocols, and procedures related to campus administrative systems (Travel, BearBuy, bCourses, Cal Mail, Student Information System (SIS)) preferred.
