Responsibilities This position works closely with the Associate Dean for Curriculum in solving curriculum issues that arises on a daily basis. Interpret, troubleshoot and advise coordinators in the departments with matters pertaining to curriculum levels. This position is the primary liaison between the Curriculum Office and the Medical College of Georgia which includes 900 students, faculty and support personnel across all regional campuses to include Albany, Rome, Savannah and Athens. Manage the interface between all curriculum content, interface between curriculum and other units ab=nd facilitate staff to staff communication for meetings, curricular development and new projects. The duties include, but are not limited to:
  • Answer and screen all incoming calls. Maintain very complex appointment calendar/schedule for the Associate Dean for Curriculum. Coordinate large number of meetings with various faculty, committees and medical students. Transcribe and prepare correspondence. Prepare all Travel Authorizations. Interface with all volunteer clinical faculty, their office staff throughout the state, as well as all basic science and clinical faculty, module and clerkship directors in Augusta and our four year campus in Athens and there regional campuses. Provide administrative support to the National Board of Medical Examiners (NBME)- The Associate Dean for Curriculum assumes the role of NBME Executive Chief Proctor (ECP). Serve as Pcard holder who maintain inventory and order of office supplies as needed/requested. Manage 120 Affiliation Agreements with off campus sites that provide clinical educational MCG SOM students. Handles documentation for 190 students obtained prior to SQM students beginning third year clerkships. Responsible in documentation and fingerprinting of all 1090 student to have a VA access during clerkships. Manage the Search committee for Director of Academic Support Services (and MCG/UGA candidates).
  • Provide general office support for Module Director. Responsible for contacting and reminding faculty regarding lecture presentations, handouts and exam questions. (32 faculty and 168 lecture hrs). Registrar's CIR Data management System. Enter Grades in Banner.
  • Assist with developing Phase 1 and 2 course schedules and Phase 1 and Phase 2 exams schedules. Responsible for a budget of $125,000 for ordering National Board Exams. Maintain Pcard in the amount of $10000 and prepare all monthly paperwork and back up documentation. Handles Course Mapping for modules, clerkships and courses across M1-M4.
  • Performs other duties and/or activities as needed and/or directed to support the department.
Required Qualifications Bachelor's degree from an accredited college or university and a minimum of four years professional or administrative experience to include a minimum of two years of educational program or similar experience.
OR
Associate's degree from an accredited college or university and a minimum of seven years professional or administrative experience to include a minimum of four years' educational program or similar experience.
OR
High School Diploma, GED, or equivalent from a State or Federal accrediting organization and a minimum of ten years' professional or administrative experience to include six years' educational program or similar experience.Preferred Qualifications Bachelor's degree from an accredited college or university and a minimum of 4-year educational program or similar experience.Knowledge, Skills, & Abilities Ability to maintain confidentiality
Excellent interpersonal, written and verbal communication skills
Detail-oriented with strong customer service, multi-tasking and organizational skills
Ability to coordinate multiple projects simultaneously, meet deadlines despite often interruptions, keep accurate records and make independent decisions
Proficient in Microsoft Office and other computer software/databases; Testing will be required to determine actual proficiency of office software and procedures.
