We especially encourage women, people of color, members of the LGBTQ+ community, veterans and people with disabilities to apply.Description:Reporting to the Associate Dean for DEI and Professional Development & DEI Manager, the Administrative Assistant provides high-level support to the Associate Deans for DEI and other administrators in the DEI office, as assigned. This position requires the use of independent judgement in planning, prioritizing a diversified workload, and regular communication with students, faculty, physicians, and administration at the School of Medicine, Hofstra University, and Northwell Health.

Responsibilities include, but are not limited to:

•Act as a representative of the Office of DEI and serve as a liaison with the university community. Escalate concerns to the Manager or Associate Deans as needed.
•Assist with the day-to-day operation of Office of DEI by providing direct support to the Associate Deans for DEI, the DEI Manager, and other administrators, as assigned.
•Prepare documents, reports, and presentations for the Associate Deans for DEI and others, as needed.
•Respond to routine and non-routine correspondence.
•Handle confidential and non-routine information and explain policies and procedures when necessary.
•Establish, develop, and maintain electronic correspondence logs and database tracking systems.
•Schedule and coordinate support for all necessary meetings. Prepare and compile materials as needed. Communicate with presenters or special guests, and coordinate equipment/technology and any other special meeting requirements.
•Collaborate with the Web Architect and DEI Manager to review the ODEI website and suggest updates to content to ensure the most accurate information is available online.
•Work closely with the associate deans and other administrators to plan and coordinate logistics of DEI educational programs, pipeline programs, and other related initiatives.
•Manage multiple tasks, exercise judgement and independent initiative, and handle time-sensitive matters that require concise problem-solving and high degree of confidentiality.
•Assist with addressing student/faculty/staff inquiries to the Office as they present.
•Collaborate with other administrators to cover absences, provide relief to equalize peak work periods, or otherwise balance the workload within the Office.
•Use independent judgement to plan, prioritize and organize a diversified workload.
•Complete other special duties and projects, as assigned.
Qualifications:Required:

•Bachelor’s degree.
•Be detail-oriented, able to exercise good judgment and discretion, and capable of handling sensitive and confidential issues in a professional manner.
•Minimum of three years of progressive experience providing administrative support in a fast-paced, intellectually challenging environment is required.
•Demonstrated ability to plan and manage complex projects; extremely well-organized; must demonstrate the ability to work with people from a variety of culturally diverse backgrounds.
•Have superb computer skills, with proficiency in Microsoft Office products, including Word (mail merge and tables), Excel, Access, PowerPoint, and use of the Internet.
•Capable of working independently and within a team and possesses superior oral and written communication skills.
•Self-starter who is personable, inclusive, and a committed and experienced professional with a collaborative disposition, ability to think critically and creatively, a service orientation, and a participatory work style.
•Experience with scheduling and preparing for live and remote meetings, and the ability to handle multiple tasks expediently and accurately.
•Valid driver’s license and vehicle
