In addition to the main campus in Centralia, Centralia College East in Morton is a smaller site that serves the needs of students in east Lewis County. Since the college is committed to the success of all students, Centralia College also provides educational programs at two corrections centers in southwest Washington - Garrett Heyns Education Center located in Shelton, Washington and the Cedar Creek Corrections Center located in Littlerock, Washington. Job Description

This is a professional/technical exempt position that reports to the Foundation Director. Under general supervision, performs specialized professional services for the Foundation. Duties include facilitation of scholarship awards and the scholarship process, compiling and producing reports, composing written materials. Apply knowledge and experience of the Foundation to accomplish the goals and tasks of the Foundation. Lead the Foundation Program Assistant in accomplishing their assigned work for the Foundation. Provide program information regarding policies, procedures, record coordination, scholarships, and events to students, employees, Foundation members, scholarship recipients, and donors. Prioritize deadlines and perform specialized tasks such as monitoring budgets, events, awards, and oversight of the Scholarship process.

Duties and Responsibilities
  • Facilitate scholarship award process including marketing of scholarships to the community, high schools and appropriate associations. Coordinate and attend high school presentations, notifications to donors and applicants.
  • Compile and distribute information for Foundation scholarship activities, confer with other campus departments and outside agencies; serve as a resource person for committees concerned with program operations; interpret historical activity reports, and other materials in the functional area;
  • Compose correspondence and printed materials related to foundation scholarship policies, procedures, and operations; edit materials for accuracy, appearance, readability, and style;
  • Perform all software related scholarship tasks and perform all word processing and spreadsheet record keeping.
  • Oversight of scholarship awards through the Foundation Office;
  • Management of scholarship budget; deleted “on a monthly basis"
  • Perform and coordinate scholarship marketing including social media, web pages, printed materials and outreach.
  • Responsible to seek out and work with new donors, community associations, businesses regarding setting up community scholarships and endowments.
  • Responsible to ensure that the donors’ requirements are met when awarding scholarships
  • Responsible to coordinate with local high school counselors or other identified staff for scholarship marketing, gathering missing student scholarship information (transcript, letters of recommendation, etc.), scholarship process/procedure changes, and high school award presentations.
  • Responsible to work with student scholarship applicants ensuring complete scholarship applications, all required attachments, acceptance letters, thank you letters, and attendance at Scholarship Night.
  • Review quarterly unpaid student tuition report to identify scholarship recipients.
  • Prepare quarterly tuition payment report for foundation accountant to pay the college for scholarships
  • Provide data for foundation committees/board regarding scholarship needs and funding available.
  • Review waiver funding for Val/Sals at the end of each fiscal year.
  • Communicating with Financial Aid regarding Val/Sal waivers.
  • Confirm GPAs from scholarship applications (obtain from ctcLink if current college students).
  • Manage/process “outside” scholarships.
  • Manage “outside” reviewers for scholarship awards.
  • Manage and maintain all off and mid-cycle scholarships and coordinate with campus staff and donors.
  • Manage the foundation’s brick program including coordinating with campus and community contacts for sales, billing, design of bricks, ordering, and installation.
  • Assist with board meetings, activities and events.
  • Apply for grants and funds when requested.
  • Coordinate the scheduling of all foundation events on campus. Acting as liaison for foundation/community partnered events on campus. Assist with off campus event scheduling.
  • Perform other duties as assigned.
Qualifications

Associate's Degree AND two years of experience

OR

Equivalent combination of education/experience

CONDITIONS OF EMPLOYMENT:
This is a twelve (12) month per year, full-time professional exempt position. The annual salary is $43,553 depending on the qualifications and experience of the successful candidate. The state of Washington provides a comprehensive benefits package for state employees. The position may participate in the TIAA/CREF retirement system.

This position may require flexible hours and some work on evenings and weekends.

The Region

The college is located in southwest Washington on the 1-5 corridor midway between Seattle and Portland, in a beautifully green area of forests and farmland. Centralia College East

Centralia College East (CCEast), located in Morton, represents Centralia College's dedication to meeting educational needs of the residents of central and eastern Lewis County. CCEast provides registration services, educational advising and tutoring, Running Start, career counseling, assistance with financial aid, adult literacy tutoring, GED, T.E.E.N. program for pregnant and parenting teens, placement testing (COMPASS), and online access to Centralia College's library resources. Some classes connect CCEast students to the main campus via interactive television. The CCEast Organization of Students offers additional activities for students.

Garrett Heyns Education Center

The Garrett Heyns Education Center (GHEC) is located within the Washington Corrections Center, a medium security correctional facility situated on a 455-acre site three miles north of the city of Shelton. The Corrections Center is located 50 miles north of Centralia College's main campus and houses approximately 1,600 inmates. Centralia College has participated in an interagency agreement with the Department of Corrections to provide educational services for offenders since 1975. GHEC is a branch campus of Centralia College.
