Department of Computer Science and Engineering has an opening for a full-time University Staff (unclassified) Graduate Coordinator and Program Assistant position.

Job Summary:

This position will provide an extensive array of independent and high-level professional and operational support to the administration, faculty, staff and students in the Department of Computer Science and Engineering (CSE).  This positon is responsible for executing student service activities, event management, and purchasing and procurement functions. This position will work closely with department faculty to support the educational mission of the department, and will collaborate with the department program manager to support department initiatives and strategic planning.

Examples of Work Performed:

Graduate Program Academic and Student Services:  Contribute to the planning and implementation of graduate orientations and welcome events. Advise and assist graduate students in the development of an educational plan including choosing a program of study and/or clarifying educational goals. Educate, counsel, and advise graduate students regarding the University of Colorado’s academic programs, admission requirements, policies, and procedures. Serve as a resource concerning academic policies, processes and procedures. This includes advising graduate students of their rights and responsibilities; directing them regarding Federal (FERPA, ADA), State (College Opportunity Fund), and institutional regulations and guidelines to ensure compliance. Assist with resolution of registration issues including proper procedures for schedule adjustment forms, special processing forms, and change of record forms. Develop and promote internal communication, social media and resource sharing in order to benefit student success. Prepare files for graduation and assist the department chair with graduation audits. Manage the CS Scholars (4+1) program.

Graduate Admissions and Outreach: Oversee the graduate program application and admission process; track student applications in Slate for completeness and monitor the processing of applications; route applications to the Graduate Committee; generate decision letters; and communicate results to the CEDC Graduate Admissions Specialist and the Graduate School. Collaborate with the Director of Marketing in the Graduate School to develop email communication strategies and timelines through Slate. Stay abreast of changing curricula, rules and policies at the department/program, college and university levels. Serve as the communication hub of the department by integrating and disseminating information from the Graduate School to administration, faculty, staff and students. Participate in various recruitment and outreach efforts to provide information to prospective graduate students.

Operations and Business Services: Perform a variety of operational and business services functions in support of faculty, staff, and student efforts. Manage department access, space, supplies and equipment needed by faculty and for teaching.  Coordinate faculty office hours for student advising and/or course assistance. Manage and maintain property inventory for the department. Hire, train and supervise student assistants and graduate assistants to provide operational support for the department. Assist with student hiring processes to varying degrees by preparing recruiting announcements, review files of applicants, correspond with applicants and assisting new employees with processes associated with employment.  Liaise with CU Denver alumni who have completed graduate degrees and collaborate on partnerships and local industry needs. Take on special projects and assignments to provide analysis on processes and to develop new processes and services.  Utilize the Office of Institutional Research and Effectiveness (OIRE) to gather data for special projects and reports. Perform other related work as assigned or required by the nature and scope of the position.

Purchasing and Procurement:  Serve as the lead for department procurement, travel coordination, and contract processing in CU Marketplace assuring that appropriate funds and descriptions are used. Manage departmental purchasing, procurement, and accounts payable activities including purchase requisitions and purchase orders, travel authorizations/reimbursements, and expense reimbursements. Purchase specialized equipment and supplies needed for faculty research projects and classes on a regular basis by locating suppliers, determining the appropriate method to pay for goods or services and following University policy and procedures. Perform inventory purchasing and tracking for all office and administrative supplies, resupplying as necessary. Provide guidance and training for faculty facilitating self-sufficiency and enabling them to place orders and request expense/travel reimbursements through Concur and CU Marketplace. Adhere to Procurement Card policies by obtaining adequate documentation for transactions, providing explanation of business purpose, promptly allocating charges to appropriate accounts, and submitting expense reports to the Approving Official.

Events and Logistics: Organize, coordinate, plan and execute departmental events by securing space, equipment, food, preparing announcements, making travel arrangements and reservations and overseeing the event as it occurs. Coordinate and execute a variety of student-focused events and workshops to aid in community-building, student success and retention. This includes, but is not limited to, student social events, student club events, workshops etc. Manage on-campus or virtual student orientations.  Evaluate events for quality and participation based on goals and objectives and implement improvements for future events based on observations and feedback.

Document Management:  Develop and maintain appropriate reports, forms and administrative documents for accurate record keeping. Gather, compile, and enter data, producing routine and specialized reports and documents; maintain files, records, logs, and other tracking systems. Review and submit computer science graduate faculty appointments to the graduate school. Collaborate with faculty to administer, collect, and collate ABET material collections for course assessments throughout each semester. Serve as Slate liaison to include trainings, prep activities and continuous work to create efficient admissions document collection. Maintain administrative documents, program information files, and confidential student records.  Maintain and update handbooks for all degree programs with current curricula, rules and policies at the department/program, college and university levels.

Salary and Benefits:

The salary range (or hiring range) for this position has been established at $39,834 to $66,922.  

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.

Qualifications
Minimum Qualifications:

    Bachelor’s degree in business administration, education, psychology, counseling or relevant field.Two (2) years of experience coordinating day-to-day business and administrative operations of an organization.Two (2) years of professional-level customer service experience. One (1) year experience in procurement and/or purchasing.
Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.

Preferred Qualifications:

    Experience working with faculty, staff, and students in a higher education environment.Experience working with CU Data, CU Marketplace, PeopleSoft, Navigate and Concur or similar systems and software.Supervisory experience.Experience in event planning and execution.
