Job Description UMKC is looking for a seasoned executive assistant to serve in a full-time role supporting two senior leaders in the organization, the Vice Chancellor of Strategic Marketing and Communications (MCom) and the Vice Chancellor of Finance and Administration. This individual will provide high level staff assistance in support of two key campus leaders. The ideal candidate would have superb communication, customer-service, organizational and problem-solving abilities along with strong demonstrated skills in Microsoft Office Suite, including Powerpoint, Excel and Outlook, among others. Strong judgment and discretion are essential.

The core responsibilities will be as follows:

    Manage calendars and coordinate scheduling and meeting support.
    Answer phones and main office emails and route callers and vendors to appropriate resources and people.
    Draft, proofread and print correspondence, print attachments, collate documents, etc., as needed.
    Purchase supplies, books, subscriptions, memberships, etc.; keep track of receipts; reconcile purchasing card statements, handle billing and inventory duties.
    Handle any travel or meeting arrangements. Other duties would include such things as: updating PowerPoints, serving as point person for orientation processes.
  • Serve as liaison with other administrative staff and maintain proactive and positive working relationships with them, all while demonstrating an understanding of the Vice Chancellors’ and UMKC’s top priorities and strong customer service ethos.
    Scheduling for photography studio, news calendar and other activities as designated.Manage meetings and set up trainings and fiscal meetings as needed.
  • Manage incoming visitors, job applicants, vendors, clients and others as needed.
    Maintain planning and preparation for recurring events initiated by the Vice Chancellors including monthly staff meetings, training and development activities, weekly lead team meetings, client meetings and others as directed.
    Tackle short-term and longer-term projects that support the Vice Chancellors, as needed.
    Proactively seek other opportunities to take responsibility for ongoing tasks/projects in support of the division.
  • Handle routine billing and expense reports, track monthly marketing data for reports, archive creative projects. Training will be provided.
  • Other duties as assigned.
Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications
    Two or three years of related experience in business administration, personnel administration, higher education administration or public relations is necessary.
  • Three years of executive level assisting, proficient skills in Excel including simple graphics, demonstrated experience with creating and distributing written correspondence, strong multitasking and organizational skills, and experience in a higher education environment.
  • Skilled in PowerPoint.
  • Graphic design skills a plus.

Salary

Position starts at $17.00/hour based on experience and education.
