She/he/they serves as liaison for the Dean’s schedule and works in close concert with the Chief of Staff, Development and Alumni Relations, External Affairs, Executive Education, and the Marketing and Communications teams on the Dean’s administrative and development roles. Works in concert with the Deputy Dean’s team on School and University issues ensuring close coordination and collaboration. Participates in decision-making process, includes providing initial recommendations to be taken and handles responses for inquiries. Handles highly confidential & sensitive information/issues and analyzes/resolves situations accurately and promptly in a professional manner. Represents the Dean to internal and external constituents, President’s Office, Provost’s Office, Secretary’s Office, and with offices of members of the Board of Advisors. Maintains and grows positive relationships with key alumni, prospects and their staff who contact the Dean or the Dean’s Office.Job DescriptionWork collaboratively with the Dean’s Chief of Staff to oversee, manage, and optimize the Dean’s complex schedule; ability to manage complex international travel scheduling, vet and manage requests for meetings, manage social invitations; prepare or secure background and preparation materials for all meetings. Handle end to end all travel arrangements including air, hotel, ground transportation; work with external travel agencies as needed.
Collaborates with External Affairs writing team and Chief of Staff on all communications from the Dean. Manage communications on behalf of the Dean which includes email, letter, memos, presentations and other communications pieces as needed; write and/or edit professional correspondences and presentations working in collaboration with the Dean and Chief of Staff on the development of content, tone and messaging.
Having a strong customer service orientation, she/he/they contributes as a vital member of the Dean’s Office team helping wherever needed. Provides administrative support to Chief of Staff as needed. Performs additional duties as assigned.
Qualifications:
- Bachelor’s Degree or equivalent and 5-7 years progressively responsible administrative experience required.
- Demonstrated experienced in managing complex scheduling including working on a global platform and coordinating multiple individual’s schedules.
- Advanced written and verbal communications skills.
- Advanced level knowledge in Microsoft Office, including Word, PowerPoint, Outlook & Excel.
- Strong customer service orientation.
- Working knowledge with traditional and newer forms of communication and interest and ability to learn new technologies.
- Exceptional attention to details skills necessary and capable of balancing multiple projects.
- Maintain confidentiality in all matters.
- Must be able to work independently and exercise initiative, as well as be a strong team player.
- Ability to work under pressure and deal with difficult and highly- sensitive situations.
- Outstanding interpersonal skills; experience working with people at all levels.
- Excellent problem-solving skills required; must be able to recognize deadlines and prioritize work accordingly.
- Highly reliable, dependable and excellent organizational skills.
