BASIC FUNCTION:

The position of Gift and Data Processer in the Advancement Services Office serves the primary function of performing daily gift processing and biographical data entry in the College's constituent database, Blackbaud's Raiser's Edge NXT (RE NXT). This position will carry out tasks pertaining to gift preparation, gift entry, receipting/acknowledgement letters, archiving, gift data review, biographical data entry and upkeep, etc. Additional tasks will include processing special stewardship requests, addressing telephone and other inquiries regarding gifts, pledges or records in the database.

The Gift and Data Processer is required to understand and follow database protocol when updating donor information. Daily bio updates may require additional research on constituent addresses, phone numbers and e-mails. This position will support all efforts to maintain an accurate and current constituent database.

This position will also support Advancement Services efforts to aid and enhance user training and troubleshooting in RE NXT, Blackbaud NetCommunity (BBNC) and other fundraising systems. The Gift and Data Processer must become comfortable and familiar with the database functionality utilized by various CMC Advancement offices. Under the supervision of the Advancement Services leadership team, this position will work collaboratively with other offices to train, follow up on user support and execute database projects.

DESCRIPTION OF DUTIES AND RESPONSIBILITIES:

ESSENTIAL FUNCTIONS:

Gift Processing (75%)

  • Prepare gifts for scanning, import or manual entry.

  • Conduct donor history research and get confirmation on gift designations by reviewing provided documents, checking hard and electronic files, and/or reaching out to advancement staff, as necessary.

  • Enter gifts and pledges into CMC’s donor database, including attaching support documentation.

  • Understand gift entry policy, and work through varying types of gift entry procedures to ensure proper input and designation of gifts.

  • Process and review gift receipts and assist with acknowledgments letters.

Biographical Data Entry (15%)

  • Enter and update constituent data daily.

  • Ensure data integrity by utilizing and updating the operations policy manual.

  • Locate data discrepancies and document or adjust procedures to ensure future consistency.

Matching Gifts (5%)

  • Working closely with the Development Services Coordinator, process matching gift forms either via paper or electronically, and update the database to track the corporate matching contributions.

  • Follow up with corporations and eligible individuals as necessary.

Other Duties (5%)

  • Track and order supplies for the Advancement Services Office.

  • Process returned mail by researching and updating constituent contact information.

  • Perform donor follow-up actions, which may include representing the College over the phone or by email.

  • Provide support for RE NXT and BBNC users. Collaborate with Advancement Services leadership and other offices to resolve user concerns and train other staff on new functions in the database.

  • Perform other essential duties and tasks specific to the position.

Specifically, during non-peak times, our goal is to have all gifts booked within 1 day of receipt in the Gift Office, have receipts with in the mail within 2 days of gift entry and matching gift forms in the mail or confirmed on the company portal within 2 days of receipt. It is expected that if these goals are not going to be met, it shall be reported to the Director or Assistant Director in a timely manner with the reason for the delay and a plan for remedying the problem. Decision making shall include using proper judgment interpreting existing data (historical precedent, supporting documentation, etc.) and determining to what fund a gift should go. Proper judgment should also be used in determining when problems should be brought to the attention of the Director.

Regular attendance is considered an essential job function; the inability to meet attendance requirements may preclude the employee from retaining employment.

QUALIFICATION STANDARDS:

EDUCATION:

High School Diploma or GED is required. Bachelor’s degree or some college course work is preferred.

EXPERIENCE:

A minimum of 2 years of administrative or related experience with increasing responsibility is required.

LICENSES:

A valid driver’s license or equivalent means of reliable transportation to off-site meetings and events is required.

REQUIRED KNOWLEDGE, SKILLS, and ABILITIES: Individual must possess knowledge, skills, and ability to be able to successfully perform the essential functions of the position, or be able to explain or demonstrate how the essential functions will be performed, with or without reasonable accommodation, using some other combination of knowledge skills and abilities.

1. Prioritize and perform multiple tasks, meet deadlines, respond to others in a timely manner, and work both independently and as a collaborative member of the College with a high standard of integrity and ethics, in support of the College’s strategic vision and the department’s annual goals.

5. Handle all activities and highly confidential information with patience, discretion, good judgment, courtesy and tact while working with people from a wide variety of backgrounds.

6. Use exceptional organizational and time management skills to complete work with accuracy and a keen attention to detail.

OTHER:

REQUIRED HOURS: The regular hours for this full-time position are 8:00 a.m. to 5:00 p.m., Monday – Friday Overtime, holiday, weekend and evening work hours may be required. Regular hours may vary due to needs of the College or division. This is a 12-month position.
