SUMMARY:

Responsible for patient scheduling, registration and all functions related to the facilitation of patient visits/care within the Faculty Practice at SOM. Performs duties in a high customer service manner and provides patient and family-centered service, always putting the needs of the patients/family first during encounters.

ESSENTIAL DUTIES AND RESPONSIBLITIES include the following:

Represents image of the practice to patients, community and institution through personal and telephone contact with an emphasis on high customer service. Receives, greets, directs and/or escorts patients, family members/visitors, and physicians as appropriate, in a friendly and courteous manner.

Coordinate with other scheduling areas both within and outside of Rowan SOM and/or insurance carriers to facilitate patient navigation including, but not limited to, scheduling of patient appointments, referrals or authorizations.

Obtains and verifies (or confirms that automated verification was received) accurate demographic and insurance information. Ensures all information is updated and accurate in patient management software during each patient visit. Notifies coordinator/manager of any problem with obtaining complete registration information.

Collects co-payments and monies (account balances) due at time of service. Posts payment into system and logs all payments received. Reconciles monies on hand with payment batch listing at end of session/day. Prepares deposit, daily reconciliation worksheet and charge batch for manager’s review.

Issues referrals, checks referrals for completeness and correctness of information and issues accurately within 48-72 hours of request, urgent request accommodated as needed.

Ensures all patients are capitated to the practice prior to the visit, and help patients locate their primary or to facilitate a change to a Rowan SOM primary care provide as requested (only applies to PCP practices).

Responds to any request within limits of qualification and/or refers request to appropriate staff member in a timely manner.

Answers multi-line telephone system using appropriate telephone etiquette, is courteous and helpful, correctly triages calls or takes a complete and accurate message, schedule appointments following established guidelines. Provides information in accordance with patient confidentiality standards.

Makes calls to confirm appointments, verifies correct insurance and billing information prior to appointment and makes appropriate notes in the system as needed.

Review daily reports from automated reminder service and make the appropriate schedule changes. Records all cancellations and no-shows. Contacts no-show patients to reschedule per the departmental guidelines.

Responsible for scheduling ancillary services, pre-certification/authorizations, schedule future follow up appointments and provide the patient with an appointment reminder card.

Handles recall appointments and assist manager with quality measure projects.

EDUCATION and/or EXPERIENCE

At least one (1) year of clerical experience, preferably involving receptionist and scheduling duties in a medical office or clinical setting, required. Typing/word processing skills and excellent customer service skills required.

SALARY: Minimum salary is $17.94/hour.

Working at Rowan University 

Rowan University, located a half-hour outside of Philadelphia with its main campus in suburban Glassboro, N.J., is an institution on the move.

This summer, the University opened Cooper Medical School of Rowan University (CMSRU) in partnership with Cooper University Health Care, in Camden. The first new four-year, M.D.-granting medical school in New Jersey in more than 35 years, CMSRU welcomed its first class in August 2012.

Rowan continues to work with the Borough of Glassboro and private developers on Rowan Boulevard, a $300 million redevelopment project that links the University’s main campus to the historic downtown. This fall alone, the partners broke ground for a new academic building/parking garage and a Marriott Courtyard Hotel. Rowan Boulevard already includes a Barnes & Noble Collegiate Superstore, housing for approximately 1,300 students and retail space.

The University also recently created a School of Biomedical Sciences, which joins nine colleges. In addition to CMSRU they are: the Rohrer College of Business, Communication & Creative Arts, Education, Engineering, Graduate & Continuing Education, Humanities & Social Sciences, Performing Arts, and Science & Mathematics.

Earlier in 2012, New Jersey Gov. Chris Christie awarded Rowan state research institution status (not Carnegie classification) as part of the New Jersey Medical and Health Science Education Restructuring Act, making Rowan only the second comprehensive public research institution in the State. That Act also opened the door to Rowan partnering with Rutgers-Camden to create a College of Health Sciences in Camden near CMSRU. The vision for that College calls for schools of medicine, nursing, pharmacy, public health, food science and 16 allied health programs. The University of Medicine and Dentistry of New Jersey’s School of Osteopathic Medicine in nearby Stratford, N.J., is to become part of Rowan in the near future. When that occurs, Rowan will be only the second school in the nation with M.D. and D.O. medical programs.
