The University of Colorado is hiring for an Undergraduate Program Coordinator! This position will provide key support to the department of Astrophysical and Planetary Sciences (APS). The role will provide administrative, event support, process improvement, and mentoring support while handling undergraduate program administration.

The Department of Astrophysical and Planetary Sciences (APS) at the University of Colorado (CU) has a reputation of excellence, both nationally and internationally. Consistently ranked among the top programs in the country, the Department enjoys a diversity of research interests in the areas of Astrophysics & Astronomy, Planetary Science, Fluid Dynamics, Plasma Physics, Solar Physics, and Space Physics. The APS department has 30 rostered faculty, 50 research and affiliated faculty, 64 graduate students, 340 undergraduate majors, and 80 undergraduates minoring in astronomy.

What Your Key Responsibilities Will Be

Undergraduate Program Administration

  • Plans, prioritizes, and manages the workflow of the undergraduate program, providing administrative and technical support for the Chair and Associate Chair.
  • Assists in the creation of the department’s schedule of courses for each term by reviewing teaching requests, projecting curricular needs, and analyzing past enrollment statistics.
  • Maintains the undergraduate program and course scheduling content on the department website.
  • Handles new course creation and revision paperwork, tracks deadlines, updates the catalog and APS website as needed
  • Completes course scheduling and confirms room needs in Campus Solutions software for each upcoming semester.
  • Coordinates communication for and administers undergraduate fellowships and prizes.
  • Oversees Honors admissions and examinations, and serves as departmental final grade liaison.
  • Oversees the undergraduate student registration process by monitoring data entry, researching registration problems, and assisting faculty members, instructors, and undergraduate students.
  • Maintains alumni database for the APS department.
  • Conducts and analyzes exit surveys for graduating students.

Mentoring

  • Collaborates with Academic Advising and Coaching to ensure students know the nature and content of the APS curriculum and major requirements.
  • Organizes and leads group mentoring sessions for new APS majors.
  • Meets with individual students who have not been assigned a faculty mentor and assess academic and other issues which affect student success in the APS program.
  • Updates the mentoring database and APS program information packets, so they remain current and consistent.
  • Makes referrals to resources which will strengthen and enrich the education of the student (academic advising, tutoring, pre-professional opportunities, extracurricular activities, and other resources at CU).
  • Works to support underrepresented and/or at-risk students

Administrative/Operational Support

  • Ensure main office operations are covered, responsible for front desk student assistants to provide reception and front-line support.
  • Provide general support: answer calls, distribute mail, create documents, record tracking, etc.
  • Assists with hiring graders.
  • Coordinates course textbook needs and arranges textbook reserves with CU Library.
  • Supports faculty with classroom logistics and reserves rooms as needed.
  • Assists with undergraduate major and alumni communications and outreach.
  • Designs and creates office procedures and forms. Ensures efficient and effective electronic record keeping systems.
  • May serve as FCQ coordinator, parking liaison. Alternate building proctor contact. Manage building/facility access (CCURE).

Event Planning/Management

  • Event, examination, and special-program coordinator for undergraduate program.
  • Plans, budgets, and organizes events for the department such as: Undergraduate welcome and orientation, informational and social events, mentoring group sessions, commencement ceremonies for APS, and alumni events.
  • Occasionally attend special events outside of normal working hours that target prospective and current APS undergraduates.

Process Improvement

  • Expands information about program resources by collecting, interpreting and reporting data to evaluate undergraduate majors, student credit hours, diversity planning, and funding processes and awards.
  • Seeks to improve efficiency and recommends process modifications and improvements based on analysis of operations and comparison with other departments on campus. This requires continuous development of new perspectives and skills to improve processes.

  • This position will work in a hybrid format, which will require at least half of the time spent on-campus.

  • Must be a Colorado Resident at time of application.
  • Three years of experience in an occupational field related to the work assigned to the position.
  • Appropriate education will substitute for the required experience on a year-for-year basis.
What You Will Need
  • Proficient computer knowledge and skills with Adobe Acrobat and MS Office applications, particularly with Outlook, Word, Excel, and Power Point.
  • Ability to communicate effectively both orally and in writing, with a variety of professionals, administrators, and students.
  • Potential to assume a leadership role and demonstrated leadership ability.
  • Demonstrated ability to work independently and assume responsibility for initiating and completing tasks, as well as critical functions in the management of educational programs.
What We Would Like You To Have
  • Bachelor's Degree
  • Four+ years of experience in education administration.
