Position Summary:

Provide critical support to the Vice President of Student Affairs to help ensure the smooth functioning of this office and to contribute to its continual improvement. The Executive Assistant will be expected to handle sensitive and confidential information with great discretion, including budget information as well as confidential student related information. This individual will perform a number of critical functions and must be comfortable operating in a dynamic environment where priorities can change quickly. This individual must be able to work independently and in a directed fashion to carry out a wide range of responsibilities. The Executive Assistant will serve as the front line and front facing person for a variety of constituents including students, parents and families, faculty and other stakeholders. This position will also manage one-off and ongoing projects for the VPSA and other senior staff within the division that involve gathering and synthesizing information from internal departments, other colleges and universities, and other organizations.

Essential Functions:

  • Offer is contingent upon successful completion of a criminal background check
  • Provides administrative support to the Vice President of Student Affairs
  • Work with other senior administrative support staff to coordinate meetings and key projects for the Division.
  • Interacts with students and student leaders and supports them in a variety of ways.
  • Provide administrative support for the groups and committees that the VP of Student Affairs leads or participates in.
  • Work on coordination of Board-related materials.
  • Maintain materials and documents for the office.
  • Manage associated web pages. Coordinates preparation of contracts and maintains relationships with external vendors, including procurement of services.
  • Plans key meetings and events for the Division. Provides support with annual Student Affairs activities e.g. Commencement Line up, Student Orientation (Fall and February).
  • Oversee and coordinate the student speaker process for both February graduation and May graduation Keeps informed as to Middlebury policies and requirements to help answer questions students may have.
  • Be able to handle difficult conversations with parents as their concerns arise.
  • Assist with scheduling when needed Process Vouchers & Journal entries Serves as coordinator for Administration Committee resources
  • Access Banner-located information from student accounts website maintenance
  • Helps maintain student files and certifications
  • Works in collaboration with the Student Life Dean Coordinators

General Responsibilities:

Perform other related duties as assigned. Occasional weekend and evening work is required for special events.

Education:

Bachelor’s degree or related experience required.

Knowledge, Skills and Abilities:

  • Strong organizational skills: attention to detail and ability to manage complex projects to timely completion.
  • Excellent written and verbal communication skills
  • Exceptional ability with Word, Excel, Outlook calendars, and PowerPoint required. Web page editing, using Drupal, desired.
  • Must have the ability to juggle multiple tasks in a face-paced environment. Work both collaboratively and independently. Willingness to step in where necessary.
  • Build and maintain a positive working relationship with staff and faculty across the institution
  • Demonstrate a strong professional customer service attitude
  • Ability to maintain strict confidentiality in all aspects of the Student Affairs Division.
  • Strong interpersonal communication, and organizational skills
  • Genuine interest in working and supporting with students from diverse backgrounds.

Experience:

3-5 years of administrative experience, preferably in higher education.

Physical Demands:

Must be able to work at public events held indoors and outside, escorting guests from one location to another.
