Job Description:

Duties include but not limited to:

Departmental communication. Develop a newsletter at least once per semester for communication with alumni and existing students. Develop blogs that highlight faculty and student research and alumni activities for dissemination through the departmental website and social media sites. Maintain social media presence for the department, featuring student and faculty activities.

Recruiting and student communication. Updating course catalogs and student handbooks, and providing timely undergraduate program information through the departmental website and other methods of communication. Maintain printed and online materials for incoming students. Manage scholarship application process for departmental scholarships.

Assisting the undergraduate and graduate coordinator with Academic Activities Reporting. Maintain updated semester spreadsheet of classes taught and number of students in each class. Assists faculty and departmental administration with data needed for student enrollment, course scheduling and course and instructor evaluations when requested and consistent with UF and CALS policies. Assistance with scheduling undergraduate and graduate activities and appointments, evaluations, classroom logistics, exams and other meetings. Ensuring syllabi and textbook adoptions are completed by undergraduate teachers in a timely manner and submitted/posted as required by UF policy.

Academic Advising. Assists Academic Advisor with incoming, current and transferring undergraduate students, both for the major and departmental minors. Helps host program orientation/info-sessions for new students, transfer students, and parents (if applicable). Maintain records and create materials related to academic advisement. Maintain confidential student records, data collection and reporting undergraduate and graduate enrollment and graduation information, including majors and departmental minors. Track student progress in the program and facilitate appropriate communications and follow-up with students experiencing academic or personal difficulties.

Answers general inquiries by email, mail, telephone, or in person as needed or assigned by the undergraduate and graduate coordinator or Office of the Chair.

Provides departmental support for student clubs, student organizations or awards ceremonies when requested or assigned.

Serves as primary backup to the Office of the Chair for the following areas:

  • Management, including assignment and collection, of keys for the department. Identity and Network system for the department and assign UF ID numbers and ID cards for visiting professor and new hires.

Expected Salary:

$39,000 - $45,000

Minimum Requirements:

Bachelor’s degree in an appropriate area and one year of relevant experience, or an equivalent combination of education and experience.

Preferred Qualifications:

Ability to communicate effectively both orally and written.

Experience with creating blogs and managing T4 website.

Undergraduate or related academic programs experience.

Knowledge of and ability to use Student Admin (Compass), myUFL, OneUF, Microsoft Office and other related computer software.

Knowledge of UF, IFAS, CALS and departmental policies related to undergraduate programs.

Ability to work in a team environment.

Organizational skills and ability to manage multiple tasks simultaneously.

Monday – Friday, 8:00 AM – 5:00 PM. May be required to occasionally work an evening or weekend depending on needs of the department.
