Essential Job Duties:

The primary purpose of this position is to greet and welcome students to the Counseling Center, discern the services requested by the client, assign proper paperwork and forms, and make appointments or triage assignments accordingly. Further, this position screens and directs all incoming calls necessitating precise message-taking and exceptional communication skills. Maintains a calm and consistent disposition to ensure an affable office environment. A significant portion of this work is now conducted through the use of technology. The Center now operates in two modes – in person on site visits that are face to face with client and counsel or, and the use of telehealth via Zoom which provides a session conducted virtually on the computer. Training will be provided for both and there are some duties with a virtual waiting room for the telehealth visits. This position will require on campus presence Monday through Friday, 8AM-5PM. Multiple software applications need to be coordinated simultaneously to review risk levels of students, assure proper authorization through electronic signature, print assessment documents, notify counselors or crisis response team, and manage patient flow. This position acts as the first point of contact for student mental health needs, addressing approximately 4,000 students annually for over 20,000 appointments with over 30 providers. Other duties will encompass administrative documentation for electronic medical records and other administrative tasks such as preparation of materials for presentations, supply inventory and order preparation, review and check of psychiatric billable services, and other duties as assigned.

Minimum Experience/Education:

- Competency with MS Word, Excel, Access, and basic scheduling software is desirable (will train regarding use of our current system)
- Comfort working in a fast paced environment with strong multi-tasking skills
- Knowledge and comfort operating in an environment protected and structured under strong privacy restrictions and parameters
- Dependability
- Strong communication skills

Preferred Years Experience, Skills, Training, Education:

- Post secondary degree in a related area is desirable
- Familiarity/knowledge of Zoom
- Experience with Electronic Medical Records System (EMR)
