Position Purpose:

The Director of Facilities for the Geisel School of Medicine at Dartmouth College bears primary responsibility for working with the school’s leadership team to steward and maintain Geisel’s physical assets/plant in service of its broad education and research missions. The Director bears responsibility for advancing and communicating the overall facilities vision and strategy, and for providing financial and budgetary oversight, compliance with institutional policies and regulatory requirements, and leadership of the facilities organization.

Required Qualifications - Skills, Knowledge and Abilities:

  • Bachelors Degree in Facilities or Construction/Project Management, Engineering, or a related field, or possess knowledge acquired through comparable work experience(s)
  • 6+ years of relevant experience in leading a facilities organization
  • Requires functional expertise in disciplines such as architecture, engineering and systems management along with a broad understanding and working knowledge of real estate, accounting, contract and construction management as they apply to the challenges of this position
  • Excellent supervisory and interpersonal skills
  • Demonstrated ability to manage projects and lead and evaluate work carried out by staff and contractors
  • Ability to communicate well and interact with others across all levels of the organization using tact and diplomacy
  • Demonstrated experience in business management including budgeting, accounting, and forecasting
  • Experience managing confidential and sensitive information
  • Demonstrates Initiative, sound judgment and ability to set priorities and to work independently and as part of a high-performing team
  • Strong commitment to a diverse working environment and to serving the needs of a large and diverse community

Preferred Qualifications:

  • Advanced training/degree in business or planning preferred, e.g., Master’s degree, preferred.
  • Experience in planning, design, permitting and construction administration in higher education or biomedical research and/or healthcare environments
  • Possesses a solid understanding of the facilities management policies and procedures of Dartmouth College and/or comparable higher education/biomedical research institutions
  • Demonstrated ability to develop strong and effective working relationships across a matrixed organizational structure, including with institutional leadership, including counterparts at Geisel, Thayer, Dartmouth College, Dartmouth-Hitchcock, and with local government agencies and departments, as relates to the responsibilities of this position

Description:

Facilities Planning and Management

  • Partners with the senior leadership (EDAF, the Dean and Senior Director of Finance) in leading campus master planning efforts, creating strategies to allow for new construction, necessary facilities renovations, and which address the deferred maintenance needs of each campus to ensure the physical plant is positioned to support the evolving needs of each School.
  • Oversees the efforts of the facilities team to gather and track metrics for the school’s physical (actual) space, including data on occupancy and assignment, room type, square footage and utilization; ensures space inventory systems accurately reflect such data.
  • Serves as the principal liaison responsible for facilities interactions between Geisel and the respective Dartmouth and Dartmouth-Hitchcock operating units (e.g.at Dartmouth: FO&M, PDC, Real Estate, ITC, Risk Management, Safety & Security, etc. and at D-H: Facilities, Engineering, Parking and Safety, Housekeeping, etc.)
  • Serves as the Dartmouth facilities representative for Geisel on the DHMC Condominium Operating Committee; responsible for advocating and developing recommendations for Dartmouth/Geisel program interests as matters come before this Committee.
  • Identifies and reviews facility needs for building improvements and upgrades, including deferred maintenance. Identifies and addresses inefficient and end-of-life building systems through regular, structured facilities assessments and develops maintenance (operating) and capital budget recommendations for School leadership.
  • Develops and provides oversight over short- and long-term facilities maintenance programs to ensure the sustainable and efficient operation for each Geisel campus (Hanover and DHMC-Lebanon).
  • Manages and provides day-to-day budgetary oversight for the school’s ~$30M annual operating and ~$10M capital budgets.
  • Responsible for the purchase and inventory control of the facility maintenance supplies, spare parts, capital equipment, etc.
  • Provides oversight and direction for the moves of programs, faculty and staff across the Geisel campuses, ensuring appropriate adjacencies, co-locations and reasonable access to physical assets supporting their activities.
  • Provides oversight for building and room access control systems for each campus.

Description:

Project/Construction Management

  • Serves in the capacity of Project Manager and/or Owner’s Representative for major capital improvement projects, including new construction and renovations/upgrades of the physical plant.
  • Oversees and makes recommendations to the EDAF/Sr. Director of Finance on all in-house designs and estimates for building additions and renovation/construction projects. Provides budget preparation and/or comparison of bid prices by outside contractors.
  • Determines timeline and manages resources related to projects
  • Manages cost control and project scheduling for capital construction projects, including ability to track progress of construction activities.
  • Oversees the work of each School’s facilities staff in support of major and minor renovations, and other large scale capital projects.
  • Develops progress reports and other updates for leadership, including Geisel Deans, faculty committees, the Geisel Board of Advisors, and Dartmouth’s Board of Trustees.

Description:

Staff Development

  • Responsible for leading and supervising various technical staff including direct team members, facilities staff at Geisel.
  • Provides oversight over outside support such as FO&M building maintenance staff and contractors (who may be supervised by FO&M).
  • Demonstrates a wide degree of creativity and latitude in empowering the Geisel facilities team to operate with a high degree of autonomy, where appropriate.
  • Partners with Geisel’s HR liaisons/personnel to address staff professional development performance issues, including documenting and enacting performance improvement plans when necessary.
  • Completes annual performance reviews for direct reports and ensures managers completes reviews for their staff.
  • Fosters a helpful, service-oriented environment and respectful communication and collaboration within a diverse community.

Description:

Emergency Planning Coordinator

  • Serves as the lead representative on Dartmouth and Dartmouth-Hitchcock emergency planning/preparedness and response committees.
  • Partners with Dartmouth College and D-H representatives in leading on-campus emergency response efforts for Geisel.
  • Represents Geisel and Dartmouth more broadly at local, town-wide, regional and state levels for emergency preparedness and response activities, as needed.
  • Provides strategic planning required to ensure systems and resources in place to meet challenging emergency situations.
  • Serves as Chief Safety Officer for Geisel.

Description:

Materials Management

  • Responsible for providing oversight over the efficient and safe flow of materials to and within the facilities and across the Schools’ Hanover and Lebanon (DHMC) campuses.
  • Responsible for providing oversight over loading docks (Hanover and Lebanon campuses), and the coordination with materials management services at Dartmouth and DHMC procurement and within the Dartmouth Scientific Stock Room.

  • Serves as the primary point of contact to a wide range of internal and external constituencies concerning each campuses facilities and operations.
  • Participates in the development and dissemination of School policies and develops new procedures.
  • Distills complex technical information and explains in a manner that is understandable to staff, leadership and other community members.
  • Regularly handles confidential or sensitive information and exercises discretion concerning its disposition.
