The Department of Historical and Cultural Studies at the University of Toronto Scarborough is a vibrant department organized into distinct disciplinary and interdisciplinary areas of study. Working alongside faculty, a team of dedicated staff members provide administrative services and support the daily operation of a department that is committed to promoting equity, diversity and inclusion to help create a truly rich and engaging student experience.

Your opportunity:

Under general direction of the Chairs, the Business Officer provides a wide range of financial and administrative services to the Departments of Historical Cultural Studies (60%) and Philosophy (40%).

Duties include managing and overseeing all financial budgets for both Departments; reconciling financial statements; monitoring research grants; preparing all payroll forms for processing, preparing complex reports, and managing the tracking and recovery of charges. The Business Officer acts as liaison between faculty and the Chairs on administrative matters, interpreting University and UTSC policies and procedures. The incumbent has a leadership role in departmental administration, supervises and directs a group of staff, manages space usage, plans and coordinates workflow of the Departments, reviews the administrative operation and develop and implements new and improved methods.


Your responsibilities will include:

  • Forecasting, planning and monitoring multiple complex budgets
  • Analyzing financial trends and preparing analytical reports and forecasts for management decision making
  • Planning and overseeing short and long range activities that support financial administration
  • Monitoring department budget to ensure expenditures remain within budgeted allocations
  • Preparing budget variance reports
  • Administering accounts for restricted funds
  • Developing and maintaining procedures for the use of space and equipment
  • Directing the activities of a group of staff-appointed employees.

Essential Qualifications:

  • Bachelor's degree and a professional accounting certification or in the final stages of certification and/or an equivalent combination of education and experience
  • Four years of related financial and administrative management experience
  • Demonstrated experience supervising staff is required
  • Demonstrated experience with monthly statement reconciliation, budget preparation, forecasting & analysis, reports generation, cost recovery, and financial management
  • Must have well-developed accounting, budgeting, forecasting, financial and administrative management skills
  • Strong proficiency in MS Office Suites and Financial Information Systems with the ability to develop and produce complex statistical and/or financial reports
  • Excellent oral and written communication skills with the ability to communicate information in an effective, concise and tactful manner, both orally and in writing. Must be able to negotiate with outside vendors and internal senior administrators
  • Demonstrated ability to accurately interpret and apply guidelines, procedures, and regulations in a variety of situations
  • Must be able to work independently, as well as part of a team to support the administration of the department
  • Demonstrated initiative, flexibility and attention to detail
  • Excellent analytical, decision-making and interpersonal skills

Assets (Nonessential):

  • In depth working knowledge of University of Toronto’s policies and procedures and sound working knowledge of AMS, including Financial Information System (FIS) and Human Resources Information System (HRIS)
  • Experience interpreting and applying the University’s Guide to Financial Management
  • Experience as a senior member of an administrative team dealing with faculty and academic matters
