Position Summary:

The Administrative Specialist serves as the sole administrative support for internal and external constituencies for the Institutes of African American Studies and African Studies. Serving as the assistant to the Directors, the primary functions of this position are to provide general administrative support for the day-to-day operations of the Institutes; coordinate with Franklin Dean’s Office on financial transactions and budgetary matters and process completion of new hires and appointments/ reappointments; and assist with events.

Knowledge, Skills, Abilities and/or Competencies:

Able to work independently and in a responsible manner to perform these duties. Strong organizational and people skills; proven skills in written communications. Previous experience in the management of complex projects, including skills to identify, prioritize, and accomplish specific tasks needed to accomplish routine work. Flexibility to adapt to changes in work priorities and job requirements; excellent computer and technology skills including proficiency in Microsoft Works, Excel, PowerPoint, Adobe CS6, eLc, Degreeworks, Dreamweaver, Qualtrics, SARA; experience in the use of the Banner Student System, Athena, Argos, and NOLIJ; ability/willingness to learn other technology applications and office processes.

Duties/Responsibilities:

Serve as the sole administrative contact for the department: Answer the phone and manage in-person traffic and assist students, faculty, and visitors; Liaise with Franklin College Dean’s Office (Business Office, Human Resources and Faculty Affairs) on financial transactions and budgetary matters, and to ensure process completion for new hires and appointments/reappointments; Maintain faculty records; Serve as backup to Dean’s Office as needed; Work with Business Office to order and maintain supplies; Maintain inventory records; Process incoming and outgoing mail

Serve as sole office manager for the Institutes: Manage daily operations of the office; Maintain staff records; Supervise student workers (graduate and undergraduate); Work with Building Services Management and Franklin Facilities team to manage building concerns and repairs related to the office; Provide administrative assistance and support for faculty; Manage copy machine codes for faculty and staff and determine repairs and other concerns; Manage parking passes and distribution to faculty and guests; Process incoming and outgoing mail; Maintain departmental email and listservs with assistance of student workers, forward communications to appropriate person(s) as needed; Monitor library usage and access

Duties/Responsibilities:

Load all courses in a timely manner & manage the Institute’s CAPA entries; Ensure on campus room reservations are made to accommodate classes; Perform various administrative duties to assist ASI and AASI faculty with their courses and teaching; Perform various administrative duties to support ASI program coordinators, Curriculum Committee, and students with Certificate and Minor programs; Attend and take minutes for curriculum committee meetings. Order books, as needed.

Plan and execute events for the Institutes. Plan and execute key (annual) programs. Gather information, assist in design and distribution of publications. Arrange for catering, venue reservations, staffing assistance. Assist in or create program marketing materials including but not limited to flyers, brochures, posters and program booklets.
