Job Description Summary

OVERVIEW:
Manages and oversees facility operations for the School of Business. Serves as liaison with vendors and student/staff/faculty to address building maintenance, event and access needs. Also manages effective interdepartmental relationships with custodial and campus operations teams; addressing housekeeping, building maintenance, security/safety and annual inspection requirements.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Manages and oversees facilities operations, including all building work orders.
  • Manages, schedules, and verifies all facilities planned maintenance, office configurations/moves and upgrades, including office equipment procurement.
  • Plans and implements facility improvement projects; coordinating external workers and vendors.
  • Administers building room reservations system and maintains building intranet facilities log systems; processes all Telecom work orders and action forms. Verifies accuracy of WFU Telecom billing data.
  • Manages inventory of building access keys and security access, interfacing directly with Campus Facilities and DeaconOne office to provide safe and secure building access.
  • Manages and organizes student mailbox keys and assigns keys to new incoming students.
  • Manages and organizes workstation and user ped keys.
  • Responsible for the logistics of conference set-ups and special university facility-related events.
  • Purchases operational supplies and maintains stock.
  • Management of Facilities budget and formulation of strategic long range planning in regard to asset replacement cycles.
  • Coordinates and processes payments of vendor invoices. Researches and provides cost comparisons for projects and adheres to budget guidelines.
  • Develop, implement, and review operational policies and procedures.
  • Manages and resolves facilities issues with contracted custodial staff.
  • Oversees the updating and review of physical and directional signage. Ensures consistency and alignment of School of Business brand standards.
  • Manages internal and offsite storage needs.
  • Provide inspired leadership for the organization that promotes top performance and high morale.

REQUIRED QUALIFICATIONS:

  • Education/Experience: Bachelor’s degree plus three to five years of related experience, or an equivalent combination of education and experience.
  • General knowledge of operations tied into the management of a multipurpose facility.
  • Ability to organize workflow and coordinate a multitude of activities.
  • Expectation of computer competence to match position- comfortable with work order systems, building access and building reservation systems, spreadsheets for budgetary planning, word processing and mail merges and prompt email correspondence.
  • Ability to research and resolve building maintenance, custodial, dining service and security problems and opportunities.
  • Ability to demonstrate effective communication skills, both verbally and written, to a broad audience of students, faculty, staff, administrators, vendors, and university guests.
  • Ability to build alliances and partnerships with other internal and external organizations.
  • Solid understanding of financial management.
  • A strong attention to detail.
  • Ability to successfully lead a team.

ACCOUNTABILITIES:

The position will report to the Executive Director of Building Operations and supervises two School of Business Facility Assistants. In addition, along with Campus Facilities, assists in directing the daily focus of the Farrell Hall custodians.

PHYSICAL REQUIREMENTS:

Medium work: exerting up to 50-75 pounds of force occasionally and/or up to 30 pounds of force frequently to move objects (primarily furniture).

Position is very active- frequent mobility is a necessity (building is four stories plus an attic).

FLEXIBILITY:

The Wake Forest School of Business supports events during the day, evenings and weekends. Some events will require onsite personnel for setup and clean up needs. Applicants should have the flexibility to manage and facilitate those needs when required.
