Overview
The department of Civil and Environmental Engineering seeks a highly competent and efficient individual for the role of department assistant. The incumbent supports administrative, teaching, and research activities of the Chair and the whole department. To varying degrees the incumbent participates in most aspects of departmental operations as a member of the administrative team, including submission of expense vouchers, purchasing and receiving, website management, office management, document preparation and editing, travel arrangements, meeting and event planning, serve as departmental-wide backup for travel and procurement needs, create and prepare spreadsheets for various tasks such as programs budget tracking and scheduling, responsible for postdocs appointment renewal and visitors appointment processing.The Department Assistant provides secretarial and clerical suport for the Department of Civil and Environmental Engineering.
Responsibilities
Maintains calendar for departmental chair; works with Chair and Department Manager to coordinate faculty search application process, advertises job ads, coordinates complex calendaring, travel arrangements, meeting scheduling and logistics; invoice processing, purchasing and receiving; serves as departmental receptionist; provides assistance to the undergraduate and graduate coordinator in planning events; creates complicated online SharePoint forms to better organize student data; provides assistance to the Department Manager with a variety of tasks and projects, as needed; assists website management including website content updates; order supplies maintains departmental supply room; maintains kitchen, mail-room, copier, printer and fax machine; maintains conference room schedules.Serve as departmental-wide backup for travel and procurement needs; assists with space management and responsible key controls. Other duties as assigned
Qualifications
- Minimum level of education required: Associates or other 2-year degree
- Minimum work exeprience required: 4- 6 years
- Knowledge, skills and abilities - the successful incumbent will have independent thinking and decision making skills in carrying out daily tasks. Have excellent customer service skills and communication skills, including the ability to interact with a diverse population comprised of faculty, students and staff.
- He or she will also need to be detail-oriented and organized.
- Knowledge about Prime and People Soft Systems.
- Proven experience multitasking while setting priorities is required.
- Knowledge of Microsoft Word, Excel and PowerPoint is required.
- knowledge of Sharepoint and Drupal is a plus.
- Bachelors degree is desired.
