Job Description
The University of Maryland, Baltimore (UMB) Graduate School is seeking a dedicated customer service and solutions-oriented Office Manager to work at the University of Maryland Support, Advocacy, Freedom, and Empowerment (SAFE) Center for Human Trafficking Survivors (located in College Park, Maryland). This position reports directly to the SAFE Center Director of Finance and Business Operations and will involve engagement with the SAFE Center team, broader university community, funders, partnering organizations, vendors, clients, and other stakeholders. This position will also work closely with the Graduate School’s Administrative and Fiscal Affairs team.  The Graduate School’s mission is to prepare a new generation of leaders in health, research, and the social sciences to improve the human condition throughout Maryland and around the world. The SAFE Center is part of the Graduate School and is located in College Park. The mission of the SAFE Center is to provide survivor-centered and trauma-informed services that empower trafficking survivors to heal and reclaim their lives and prevent trafficking and better serve survivors through research and policy advocacy. Through in-house service provision and collaboration with partners, the Center provides comprehensive social, legal, mental health, medical, and economic empowerment services to survivors of sex and labor trafficking of any age, nationality, or gender. The SAFE Center’s mission is rooted in social justice and active efforts to fight systemic racism which is one of the causes of human trafficking. More information is available on the SAFE Center’s website at www.umdsafecenter.org.  The physical work location for this position will be at the SAFE Center in College Park, Maryland. The duties of this position are split between the University of Maryland, Baltimore Graduate School in Baltimore and the SAFE Center in College Park, Maryland. There may be occasional travel to the UMB location in Baltimore City. Exemptions for medical or religious reasons will be processed through Human Resources.  Job Responsibilities:Administrative: General
    Responsible for the day-to-day administrative support functions for the SAFE Center. Work with Director of Finance and Business Operations to develop and implement office policies and procedures for operations, budgeting, procurement and supply, hiring, and payroll, basic IT maintenance and space planning. Periodically analyze internal processes, equipment, and supplies, and implements changes to improve operations. Act as a liaison with other departments and outside agencies, which may also include high-level staff such as management team. Handle confidential and non-routine information and explain policies when necessary. Follow up and resolve all business office issues or concerns and advise management as necessary. Establish and manage business records. Develop and maintain record filing system, file classification, tracking, and retention schedule. Gather material and interpret data to prepare recurring administrative reports. Receive visitors; independently handle inquiries; gather information and disseminate office communications to pertinent parties. Maintains the calendar and scheduling needs of the Vice Provost and GS Vice Dean Makes arrangements and coordinates all details for meetings, assists with coordinating events in the Graduate School May attend meeting and prepare notes
Administrative: Human Resources
    For the SAFE Center, assist with hiring, on-boarding and off-boarding of staff, interns, and volunteers, including set up and inventorying of equipment, parking passing and IDs, client database logins; maintain signed consent and other forms and records. For the SAFE Center, coordinate staff appreciation activities. Schedule and organize activities such as large meetings, travel, and conferences.
Administrative: Facilities Management Support
    Coordinate with Facilities Management to identify and provide the services and equipment, such as computers and phones, needed to ensure that operational needs are supported. Oversee equipment maintenance and supply inventory. Help set up and maintain functional operational services at the SAFE Center including phones, computers, printer, online fax service, UPS and PO Box, alarm system, and others. Ensure operations of equipment by completing preventative maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques. Establish standing supply orders (paper, toner, etc.) and restock supplies. Manage the integrity of the office. Oversee space planning, moves, change requests for space, furniture or equipment. Responsible for conference equipment setup and breakdown, catering requests, and general housekeeping of kitchen.
Financial
    Administer purchasing and travel management, including procurement card purchases, initiating purchase requisitions, paying vendors in a timely fashion, and processing travel reimbursements. Maintain financial records and process financial transactions including accounts payable NONPOs, working fund check requests, debit memos, RSTARS transfers, purchase requisitions/invoice receipts, deposits, and foundation disbursement requests. Assist in preparing reports, spreadsheets, and related documents to convey financial transactions. Serves as a trave administrator for the Graduate School which includes the SAFE Center. Assist SAFE Center in developing and tracking expense budgets allocated to each SAFE Center client, and in paying client expenses in a timely and efficient manner. Propose proactive solutions to challenges in flexible and timely payment processes. Track and report on monthly spending on each grant. Assist with tracking expenses in real-time.

Qualifications
Education: Bachelor's degree in a related fieldExperience: Two (2) years of experience in administrative or business operations work.Other: Consideration may be given for a unique combination of education & experience.

Preferences:
  • Experience in university systems and procedures including Kuali Research, Oracle Financials, or other similar enterprise systems. Proficiency working with Microsoft Excel.
