Front Desk Coordinator, Office of Academic Affairs - Georgetown University Law Center

Georgetown Law's Office of Academic Affairs provides academic resources and support to J.D. students and faculty. OAA leads the Law Center's curricular planning, course scheduling, and academic policy development. OAA academic advisors are available to assist students with planning their course-load to maximize their time here at the Law Center and prepare them for the legal field.

The Front Desk Coordinator is the face of the Office of Academic Affairs, offering a friendly and helpful touchpoint for our faculty and student constituents and other visitors while providing critical support to our academic advisors and course scheduling and adjunct services teams. They provide computing, technical, research, clerical and administrative support to Office staff member and offer consistent, professional, and timely assistance to the staff, students, faculty, and visitors to this office. They support the advising team in managing student appointment scheduling and assisting with communications, and support the other staff on the course scheduling and adjunct services teams.

Reporting to the Executive Director for Academic Advising, and ensuring timely, accurate assistance to students and faculty and effective coordination with our colleagues across the Law Center and University, the Front Desk Coordinator has duties that include but are not limited to:

Reception
  • Opens and closes the office
  • Greets walk-in traffic and directs appropriately
  • Answers the phone and manages voicemail
  • Ensures appropriate sanitation of spaces
  • Prints and prepares materials for Office staff and faculty as requested
  • Assists with scheduling meetings and requests to use the conference room
  • Assists with room reservations and technical support requests


Student Advising Support
  • Sets up Zoom appointments and emails confirmations
  • Assists with advising appointment scheduling requests
  • Tracks appointment requests and communicates with advising team regarding needs
  • Runs advising number reports
  • Pulls student information and maintains confidentiality


Communications
  • Directs inquiries from faculty and students, responds to frequently asked questions, and helps to manage the flow of requests, whether received in-person, by phone, or by email
  • Sends messages on behalf of Executive Directors and Directors to students and faculty
  • Proofreads and prints letters and correspondence
  • Prepares simple messages and flyers


Qualifications
  • High school diploma
  • Up to 2 years of relevant experience
  • Strong organizational, oral, and written skills
  • Demonstrated interpersonal skills
  • Commitment to working with a diverse student body and faculty
  • Attention to detail
  • Ability to effectively serve diverse personalities, maintain poise and professional demeanor, act with diplomacy and tact, and exercise sound judgment and discretion when dealing with confidential and sensitive information in what can be a highly pressured environment


Preferred qualifications
  • Bachelor's degree
  • Experience in event and meeting planning
  • Proficient in use of Microsoft Office applications, including Word and Excel, as well as Google applications
  • Familiarity with laser printers, scanners and photocopiers
  • Facility with Zoom and experience with other educational technologies
