Position Summary:

The Facilities and Security Manager is responsible to the Director of the Hargrett Library for managing and directing the facilities operations and building security of the Special Collections Libraries Building, which includes the Hargrett Rare Book and Manuscript Library, Richard B. Russell Library for Political Research and Studies, and Walter J. Brown Media Archives and Peabody Awards Collection. Job duties include planning, coordinating and monitoring building maintenance, environmental / safety regulation compliance, grounds maintenance, custodial support, organization of events, space assignments, etc. This position is responsible for building security, including monitoring alarm, security camera, and related systems. This position has budgetary responsibility for the facilities management program for the Special Collections Libraries Building. The Facilities and Security Manager is responsible for initiating and maintaining strong relationships with the directors, faculty and staff of the Special Collection Libraries as well as all levels of supervisors and employees with campus academic units and Physical Plant present in or with responsibility for the Special Collection Libraries Building. The Facilities and Security Manager will work closely with the Vault Manager and the Libraries’ Director of Development. The Facilities and Security Manager is expected to work at night and on weekends as needed, and to be recallable for duty in 30 minutes to respond to after-hour emergencies or security issues. Assignments are carried out under established policies and procedures and the employee should exercise quick, independent, and sound judgment and display initiative in applying resolution to emergency situations that arise. The Facilities and Security Manager supervises one Facilities and Security Assistant and approximately 5-10 student assistants

Knowledge of security procedures. Demonstrated ability to establish and maintain effective working relationships with colleagues, patrons, staff. Demonstrated effective written and verbal communication skills.Working knowledge using software packages for office use Word and Excel for Windows.Familiarity with using software and maintaining hardware for building access control and management.

Duties/Responsibilities:

Manages the security of Special Collections Libraries’ reading rooms, collection storage, classrooms, exhibition galleries, event space, loading dock, and other areas by: managing and monitoring security, lighting, and fire systems including working with vendors and campus administration to resolve issues and install upgrades; evaluating security policies and procedures and anticipating necessary adjustments; coordinating maintenance for door locks and other security mechanics; responding to security concerns raised by staff; and coordinating with University Police, Physical Plant, Environmental Safety Division on security-related issues and emergencies.

Supervises SCL Building security and facilities personnel by hiring, training, scheduling, and evaluating work; by monitoring and preparing student paperwork and timecards; and by maintaining appropriate budgets, files and records. As the security desk is the first line of contact for users entering the building, the Facilities and Security Manager ensures that security personnel provide courteous and helpful directional information and other basic assistance to visitors.

Participates in the planning and coordinating of programs, activities and events held at the SCL Building by assisting Libraries and University departments as well as external clients. Coordinates room reservation calendar and manages room rental agreements and invoices. Maintains building usage statistics and coordinates building signage.

Monitors the maintenance of furniture, utilities, computers, and signage for the overall facility and resolves problems concerning facility usage, operations, equipment malfunction, etc., by serving as liaison with the SCL Building custodial staff foreman and staff, the Physical Plant Division; off-campus vendors or maintenance personnel; and with academic units. Prepares and maintains an annual budget for building use and facility maintenance by formulating and assessing goals and priorities, monitoring facilities operations, controlling expenditures and budget development.

Manages the emergency preparedness program by providing on-site leadership for response to emergency situations; monitoring and responding to the alarm systems; developing detailed emergency procedures for the building; training other building staff to provide basic assistance; and handling related issues and problems according to departmental and university safety and security policies.

Duties/Responsibilities:

Keeps the Hargrett Director and other appropriate personnel informed of facilities, security and related issues by communicating and interpreting appropriate University personnel policies and procedures, concerns and issues. Prepares and routes statistical reports and logs, and maintains updated manuals as needed by reviewing all daily procedures and revising information to reflect changes in the unit. Participates in library-wide communication by reading, responding to, and initiating information transmitted via GRAPEVINE (the Libraries’ listserv) and other communication tools, and appropriate library-wide or departmental meetings and asking questions, seeking clarification, or initiating discussion on library issues. Maintains flexibility and awareness of changes and needs in the organization by assuming similar duties and responsibilities as assigned to facilitate the workflow throughout the Department.
