Job Summary:

Provides services to the students and 3RD parties regarding the billing and collection of student accounts.

Essential Duties and Responsibilities:

  • Responsible for the reconciling, billing, and collecting of student tuition and fees with the College’s 3rd party vendors. Communicates with Office of Admissions, Office of the Registrar, Financial Aid Office, Student Affairs (Housing and Health Services), E-Spelman Director and Cashier’s Office.
  • Monitors credit balances in student’s accounts, and initiates refunds to students and/or parents, where applicable, to ensure the College maintains its compliance with applicable federal and state financial aid regulations.
  • Monitors and reviews accounts for all students enrolled in E-Spelman (internal and external certificate programs including specific partnerships such as Guild) and communicate with appropriate 3rd party vendors and Spelman faculty/staff.
  • Prepares monthly billing statement for 3rd party vendors.
  • Conducts phone and in-office communication with students and 3rd parties. Must be able to handle problems involving several variables and resolve them satisfactorily with tact and diplomacy.
  • Co-monitors the office email account and phone messages.
  • Participates in the registration process for financial clearance of students.
  • Maintains data using Banner and other software programs where applicable.
  • Prepares and creates letters detailing cost of attendance and/or balances upon request.

Required Qualifications:

Bachelor’s degree and three years of accounting and collection experience, or equivalent combination of education and experience are required. Bachelor’s degree in accounting is preferred. Excellent oral communication skills are required to speak effectively and with diplomacy to students, parents, 3rd parties and employees in one-on-one or group situations. Excellent customer service skills required. Also, the ability to prioritize effectively, must be detailed oriented, possess the ability to handle multiple tasks, and able to adapt to changing situations. Incumbent must be able to read and analyze general business periodicals, professional journals, technical procedures or governmental regulations. Good proofreading skills are essential. Additionally, must be bondable. To perform this job successfully, an individual must have advanced computer software skills using Microsoft Office Suite (Word and Excel). Duties include such things as typing basic letters and memos. Also, must be able to utilize Outlook e-mail system and other software used by the college. Knowledge of the Banner System is preferred.

Preferred Qualifications:

Bachelor’s degree in accounting is preferred.

Physical Demands:

While performing the duties of this job, the employee is regularly required to: sit, talk, walk, hear, use hands for operating office equipment and computers. The employee frequently is required to: stand, and stoop. The employee is occasionally required to reach with hands and arms, climb, lift and/or move up to 15 pounds. Specific vision abilities required by this job include the ability to adjust focus.
