Position Summary:

This Senior Accountant position is considered a hands-on position that is responsible for all departmental level accounting including, but not limited to, purchasing, preparing budget journals, GL journals, position funding changes, UGA Foundation scholarship requests and payroll. This position is also responsible for following up with internal and external entities to resolve issues, as needed. This position is responsible for account management and monthly reconciliation for all state, restricted and foundation accounts. The incumbent will also provide direction for the post-award activities, such as monitoring grant awards for accuracy and compliance with standards and provide post-award guidance, audits and closeouts. This position serves as the key liaison between the College Business and Research Offices and the department regarding all financial management and research administration.

Duties/Responsibilities:

Payroll, Purchasing, Scholarship, Travel Related Responsibilities:

  • Review and approval of funding source for new hires.

  • Prepare and submission of faculty releases (e.g. check grant budget, OTC requirements, period of effort, etc.).

  • Prepare and submission of summer school payroll (administration, instruction & research).

  • Prepare and submission of funding changes and direct retros.

  • Process payroll transactions via the OneUSG Connect MSS System.

  • Serves as the Time & Absence Approver.

  • Run weekly payroll queries and monthly System Manager queries.

  • Prepare budget journals/transfers, journal vouchers and general ledger journals.

  • Review and approval of expense reports and UGAMart purchase requisitions.

  • Review of invoice/documentation and processing of vendor payments in a timely manner.

  • Record all departmental financial transactions and maintain accurate and current accounting records.

  • Process departmental deposit transmittals.

  • Prepare and submission of UGA Foundation check requests.

  • Process departmental/College student scholarships/awards.

Post Award Responsibilities:

  • Serve as the key liaison between CPH Research Office and department regarding all research administration questions.

  • Provide grant support to departmental faculty.

  • Process HR/payroll actions that are related to grant projects for faculty, staff and students.

  • Review expenditures for compliance and submit needed requests (CASB exception, residual balance requests, etc.).

  • Subcontract administration, administrative action requests, research faculty releases, no-cost extensions, etc.

  • Meet with Unit Head and PI’s regularly to assist in budget planning, review account activity and to ensure proper close-out of accounts.

Account Reconciliation:

  • Review of expenditures on all state, income, grant and UGA Foundation accounts to ensure they are charged to the appropriate chart string.

  • Prepare monthly reports for all departmental funds including state, income, restricted and foundation accounts and provide guidance on budget planning and fiscal year closeout directives to the Unit Head and PI’s.

  • Assist the department with Study Abroad financial management and Petty Cash and Research Participant incentive management.

  • Assist faculty and staff by responding to questions and providing updates on requests in a timely manner.

  • Assist faculty and staff in providing interpretation of UGA Policies and Procedures.

  • Participate in the planning and implementation of the fiscal operations of the College and units on state and external accounts.

  • Prepare data reports, as requested by the Unit Head and College.

  • Participate in departmental and College meetings and professional development training.

  • Other duties as assigned.
