Job Description:

Administrative Adult Division Support: This position will support the Clinical Vice Chair, Adult Division Chief and Medical Director for the Adult Division of the Department of Psychiatry. This position will establish priorities and work within specific deadlines. This position will be responsible for handling confidential information. This position is a valuable asset in providing the much needed knowledge and experience required to handle all aspects of the administrative services including; budget and marketing for the successful expansion of our Department services. This position will assist the Psychiatry Adult Division with maintaining administrative schedules, assist Division Chief with budget review and financial management of division, assisting in preparation of clinical presentation, correspondence, budget, marketing, completing faculty evaluations, assisting Chief and Vice Chair with management of inpatient services and consultation services. This position will enter all faculty leave request into the Department’s SharePoint leave system, tracking leave days and clinic coverage for the Adult Division Chief. Working with the support staff in the Chair’s office coordinating the updating and maintaining CV’s for all of Adult faculty. Format letter drafts for the Division Chief. Monitor Division Chief’s calendar for upcoming deadlines, meetings etc. Attend and provide administrative support for Adult Division quarterly meetings. This position will also create itinerary for visiting faculty members, schedule meetings with current faculty members and assisting with travel. Assist Division Chief with Adult Division Faculty annual evaluation process. Assist Adult Division faculty with travel request.

Adult Faculty Recruitment- Coordinates the faculty recruitment and retention with the Division Chief. Assist Adult faculty to update search committee training for recruitment activities. Assist with onboarding all new/incoming adult faculty members. Assist with scheduling travel, interviews, phone calls and ensuring the search committee has updated CV’s for interviewing applicants.

Administrative Research Grant proposal support- Work with the Adult Division Chief with reviewing/editing grant proposals. Manages grants and contract budgets; will contribute specific expertise to preparation and administration of sponsored projects.

Adult Division Call Schedule- Work with the Faculty member in charge of the on call schedule. Send out request for exclusions, track call schedule changes, post and make daily (as needed) updates to the on call schedule. This schedule includes posting on the Share Drive, the Website and entering the RD call schedule on SPOK system.

Expected Salary:

$50,000 - $55,000

Minimum Requirements:

Bachelor degree and three years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:Proficiency in Word, Excel, PowerPoint, E-mail and Internet, calendar management and file sharing.

Ability to work under pressure in a busy office with frequent interruptions, changing priorities and short deadlines

Ability to plan, organize and coordinate work assignments

Ability to establish and maintain effective working relationships with others

Ability to communicate effectively both verbally and in writing.
