Administrative Specialist IIIHart Career Center

This position supports the staff of the Hart Career Center by coordinating career center events, facilitating data collection, and monitoring front office operations. This is a full time, on-campus position. Generous benefits include health, retirement and tuition assistance. Position is 40/hrs a week for 10 months (August-May) and 20/hrs week for 2 months (June & July).

Responsibilities:

    Manage all logistics and budget for two campus career fairs and assist with employer outreach. Ensuring employers have productive career fairs is vital to the career outcomes of our students. Promote events to students and predetermined offices. Communicate and coordinate with appropriate University employees such as Physical Plant, Sodexo, R25 administrators, and Admissions to schedule Hart Career Center events.Construct and implement First Destination Graduate Survey following NACE guidelines, track responses and produce reports used by the President’ Office, Admissions, Career Center and other academic departments. This information is vital to recruitment of students. Implement Handshake system; approve job postings, internships, and employers that come through. Review student documents and reach out to schedule appointments with staff members. Work to ensure the database is up to date with employer contacts. Assist with scheduling practice interviews between students and employers.Monitor front desk operations by hiring, scheduling and supervising student staff. Maintain appointment schedules for the professional staff. Create and maintain spreadsheets and reports, using Handshake, to track student usage of the Career Center services. Track department budget; processing monthly credit card, expense vouchers and non-invoice expense forms. Produce monthly budget for the Director. Plan day long career discovery trips, including contacting potential employers, arranging logistics, and evaluating outcomes.

Requirements:

    Bachelor’s degree preferred; experience may substitute for educationMinimum of three years related work experienceBasic understanding of fundamental administrative concepts, practices and procedures, and ability to apply in varied situations required.
