The Senior Program Specialist for the College of Business (COB) provides administrative and operational support to the COB operations which includes the faculty, staff, and student employees. This position manages and coordinates the internal functioning of the COB Support Center. This position is responsible for student employee management including hiring, payroll, evaluations, and termination; procurement; facility management; and administering a variety of projects and COB activities. Other duties as assigned.

The University of Colorado Colorado Springs (UCCS) is one of four campuses in the University of Colorado system and is home to over 9,500 undergraduate and 1,900 graduate students. The AACSB International accredited College of Business enrolls approximately 2,000 students annually. The College of Business offers comprehensive undergraduate degrees, select master’s degrees, and professional programs that emphasize principle-based ethical decision making.

Job Duties:

Student Employee Liaison

  • Recruits and hires student employees to include, posting positions, processing new employment paperwork, onboarding/offboarding, and other related items. 

  • Coordinates student employment actions, to include preparation of required student employment forms for hiring, evaluations, wage changes, and terminations.

    Processes bi-weekly payroll for student employees.

    Maintains student employee job descriptions and compensation plan files.

    Serves as the liaison between the COB and UCCS Student Employment.

    Assists the UCCS Student Employment office with the annual student employment audit.

    Records and tracks Teaching Assistant (TA) hours for each faculty in a spreadsheet.

COB Support Center Management

    Provides administrative support for faculty, lecturers, and staff

    Hires, trains, schedules and supervises student employees that work in the Support Center.

    Serves as the point of contact for class cancellations.

    Collects course syllabi for all COB classes each semester.

    Onboards new faculty and staff to include assigning mailboxes; issuing keys; and ordering nametags and business cards.

    Coordinates office equipment maintenance and recycling objectives.

Procurement Management

    Orders and maintains inventory of general office supplies.

    Processes Payment Vouchers, Purchase Orders, and Procurement card transactions.

    Makes purchases for faculty and staff from their ledger.

    Maintains office equipment such as copier leases, schedules shredding service, and coordinates repair/warranty issues.

Facility Management

    Orders, issues, and tracks building keys.

    Re-keys offices as needed.

    Manages the calendar for student study room reservations.

    Submits work order requests for COB building maintenance and repairs. Tracks and follows-up on completion of orders.

Emergency Management Coordination

    Serves as the emergency planning coordinator for the COB to including the following duties: 

    Updates the emergency floor plan on an annual basis.

    Assigns and trains the COB floor monitors for fire drills.

    Attends regularly scheduled UCCS Emergency Planning Advisory Committee training sessions

    Posts emergency procedures in classrooms and bulletin boards.

    Maintains CPR certification.

This position has been determined to be exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).

What We Offer

Salary Range: Generally starting at $50,723 - $57,228 per year.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

Tentative Search Timeline:

    Qualifications
    Minimum Qualifications:

    Completed Bachelor’s degree from a regionally accredited institution.

    At least two (2) years of full-time equivalent administrative experience. 

    At least two (2) years of full-time equivalent purchasing/procurement experience. 

    Preferred Qualifications:

    Experience in a supervisory role.

    Experience working with faculty, staff, and students in a traditional university setting.

    Experience with campus information systems and reporting tools (e.g. PeopleSoft, Concur Travel & Expense System).

    Experience in human resources.

    Physical Requirements:

    While performing the duties of this job, the employee is frequently required to sit. 

    Employee is occasionally required to stand and walk.

    Tasks may involve using a computer screen continuously for long periods of time.

    Ability to type on a keyboard and use a mouse continuously for long periods of time.

    The employee must occasionally lift and/or move up to 20 pounds.
