Job Description:


The Circulation and Reserves Coordinator provides leadership for the Libraries' print and electronic course reserves collections and helps coordinate circulation services at the J. Thomas McCarthy Library building. As a part of the Access Services unit, this position has responsibilities that include public services, interlibrary loan, and access to library spaces. This position helps supervise student workers who provide circulation services to faculty, staff, and students.


Reporting to and under the general direction of the Assistant Director of Access Services, the Circulation and Reserves Coordinator assumes the following responsibilities:



Duties/Responsibilities:


  1. Manages the print and digital course reserves collections, establishing guidelines and written procedures for processing, loan periods, fines, renewing and withdrawing materials.
  2. Coordinates the process of adding course materials into the collection, including order fulfillment, routing, and communicating with faculty and students about the availability of items.
  3. Helps the Acquisitions unit manage the course reserves collection budget and assess options for fulfillment based on format, cost, expediency, and copyright.
  4. Assesses and improves discoverability and access to course reserves.
  5. Assists with resource sharing services.
  6. Collects and analyzes data, compiles reports, and makes recommendations for improvement of services.
  7. Helps coordinate all areas of circulation and access services for the J. Thomas McCarthy Library and maintains a regular schedule at the circulation desk.
  8. Updates and maintains documentation of policies and procedures.
  9. Coordinates with staff the Charles Willard Coe Memorial Library to establish consistent procedures across both campuses.
  10. Works collaboratively with librarians, staff, and student workers on the management of physical spaces and collections.
  11. Trains student employees to assist with reserves.
  12. Serves as a backup scheduler and payroll approver for student workers.
  13. Generates reports and modifies circulation parameters including circulation rules, loan periods, etc. in ILS.
  14. Inputs, updates, and maintains the J. Thomas McCarthy Library's hours on the MSMU Libraries website.
  15. Maintains a supportive, collaborative, positive team working environment in the library.
  16. In collaboration with other library staff, recommends new tools, services, policies, and processes for access services, including keeping abreast of updates and changes to the relevant modules of the online integrated library system.


Requirements:


Knowledge:


  • Knowledge of copyright and fair use best practices in academic libraries.
  • Knowledge of integrated library systems and automated circulation systems.
  • Knowledge of library access services processes, including circulation services, integrated library systems, interlibrary loan, collection management, and stacks maintenance.

Abilities and Skills:


  • Engaging and effective leadership skills, a passion for working with students, interpersonal communication skills, and the ability to work effectively in a team environment is required.
  • The position requires a strong customer service orientation as well as a passion for operational effectiveness.
  • Ability to prioritize and manage time effectively.
  • Excellent written, oral, and presentation skills.
  • English comprehension and communication proficiency required; Spanish or another second language desired.
  • Demonstrated ability to be flexible, adapt, and learn new skills.
  • Ability to work well with diverse students and faculty and with non-traditional students.
  • Use of library technologies such as online cataloging systems, databases, digital collaboration tools, and Microsoft Office required.

Education:


  • Bachelor of Arts or Bachelor of Science at an accredited college or university, or close to completion, required.
  • Graduate or undergraduate coursework in library and information science preferred.

Experience:


  • One year of experience in a library setting, preferably academic.
  • Experience utilizing system capabilities in various modules of an integrated library system.


Required:


  • Minimum of one year experience in a library setting, preferably a college or university library.
  • Experience using integrated library systems and databases.
  • Familiarity with copyright and fair use as it relates to academic libraries.
  • Demonstrated success with managing projects and/or personnel.
  • Experience creating and maintaining documentation of procedures.
  • Excellent customer service skills.
  • Effective communication, leadership, and project management skills.
  • Flexibility of work schedule.
  • Demonstrated commitment to diversity and inclusion.

Preferred:


  • Experience managing a course reserves collection in an academic library.
  • Experience with acquisitions and technical services in a library.
  • Experience maintaining an e-reserves collection.
