Departmental Overview

The Department of Earth & Planetary Science, within the Mathematical and Physical Sciences Division of the College of Letters and Science is one of the top ranked programs in the USA with 6 major specializations and several interdisciplinary programs in atmospheric science, climate, environmental geoscience, marine geophysics and planetary science. It has links to programs in the Departments of Chemistry, Astronomy, Geography and Environmental Science and Policy Management. The department consists of 40 faculty, including adjuncts and emeritus, approximately 60 graduate and 150 undergraduate majors, 30 post-docs and visitors, several researchers and 9 staff FTE. Research, education and service in EPS is driven by a fundamental human curiosity about the past, present and future of Earth and other planets. Program Administration:
  • Applies professional student services concepts in providing a variety of student services to the student population served by the organization, and to faculty and management within that organization.
  • Provides continuity and consistency for the Undergraduate Program in consultation with the Department Chair, Department Manager, Director of Student Services, and faculty members of various course committees.
  • Serves as the main resource concerning general student matters at the undergraduate and graduate level for faculty, University offices, outside agencies, and the general public.
  • Monitors and ensures the progress to degree for students in six undergraduate majors and eight minors.
  • Establishes, tracks and maintains academic records of all undergraduates' prospective majors. Monitors student progress for satisfaction of major pre-requisites for major declaration eligibility.
  • Coordinates and assists with implementation of registration procedures in SIS (i.e. add/drops, waitlists, etc.)
  • Meets regularly with the Director of Student Services and provides full reports on current matters.
  • Maintains undergraduate and graduate program information for the Department website.
  • Insures accuracy of the Berkeley Academic Guide (General Catalog) online information for program and curriculum requirements for six undergraduate majors, eight minors, the MA in Earth and Planetary Science and the PhD in Earth and Planetary Science.
  • Assists with events such as orientation, Cal Day, Honors Thesis Symposium, and commencement.
  • Communication to prospective and current students about programs and opportunities. Maintains display cases and boards with postings.

Financial Aid:
  • Enters student awards for undergraduate and graduate students.
  • Prepares templates for graduate student funding requests and GSI applications.
  • Coordinates the Ramsden Scholarship Fund application and processes awards for undergraduates.

Academic Advising:
  • Provides advice and assistance to students on academic and degree progress and major requirements. Assists students in determining major, alternative academic options, resolve scheduling conflicts, and similar issues.
  • Advises new, continuing and transfer students, prospective majors, parents, faculty, staff and other educational institutions on academic program and College and University requirements, making appropriate referrals to campus offices as necessary.
  • Reviews students' progress and advises students on requirements for degree / program completion; identifies students with progression problems and refers to the Director of Student Services for interventions.

Course Scheduling, Enrollment, and Curriculum Coordination:
  • Primary scheduler of classes for the department, maintains on-line records and makes updates and corrections on a timely basis.
  • Using judgment and discretion, independently (under general supervision) schedules classes and obtains classrooms for courses taking into account the requirements and restrictions of the Campus Scheduling Office, past enrollment trends, instructor preferences, equipment and facility needs, department and campus needs.
  • Consults with Campus Scheduling Office and instructors on issues regarding obtaining appropriate classrooms and advises faculty or senior level manager on options. Works with other departments and colleges to set up and manage cross-listed and room-shared courses. Devises solutions to classroom space and scheduling problems, taking into account the curriculum needs of students, the needs of faculty, and the available options.
  • Sets up enrollment limits, seat reservations and other course restrictions. Maintains enrollment and course offerings documents every semester.
  • Update materials as the online catalog and EPS website on curriculum as directed.
  • Coordinate course evaluations.
  • Work with faculty to set enrollment limits and restrictions. Assist students trying to enroll in a class or move from the waitlist. Create course application forms for impacted courses and review applications with faculty. Process enrollment manually after the 3rd week of instruction until the add/drop deadline during the 4th week of instruction. Manage concurrent enrollment applications during the beginning of each semester.

Professional Development and on occasion, backup for the Director of Student Services.

Required Qualifications
  • Ability to function efficiently as a team member; strong verbal and written communication skills.
  • Multicultural competencies; ability to work with diverse populations.
  • Service orientated and strong interpersonal skills. Which include organization, active listening, and critical thinking. Sound judgment for problem solving.
  • Knowledge of or ability to learn University processes and procedures.
  • Ability to adapt to changing priorities.
  • Bachelor's degree in related area and / or equivalent experience / training.

Preferred Qualifications
  • Knowledge of advising and counseling techniques.
  • Knowledge of (or can quickly learn) University-specific computer application programs and pertinent databases.
  • Basic knowledge of student immigration and visa processes pertaining to international students and scholars.
