Responsibilities

Reporting to the Chief Legislative Affairs Officer (CLAO), the responsiblities of the position include:

  • Direct Support Administrative Duties: Assists and advises in the development, evaluation, and implementation of goals within the functional areas to which assigned. Serve as Administrative Support to the CLAO and Legislative Affairs Manager, including scheduling meetings, maintaining calendars, making travel arrangements, maintaining the Governmental Relations Database, etc.
  • Fiscal Management: Responsible for Financial and Budget administration. Ensure efficiency and propose cost/time saving initiatives wherever possible. Utilize the Omni, Concur and other university financial formats. Responsible for lobbyists registrations for the CLAO, president and others as needed.
  • Manages Special Events: Organize and facilitate the Legislative Spouses Program, including Spouses brunch at the president’s house, tours, and classes during the legislative session. Organize and facilitate FSU Day at the Capitol, the Seminole Evening Reception, and other legislative events on campus and at the Capitol
  • Record Keeping: Maintain office files; Maintain the office database, including legislative mailing lists.
  • Supervisory Duties: Supervise all OPS staff
  • Legislative Duties: Assist with bill tracking as needed. Attend and/or review legislative hearings, public symposia, and other events related to the Florida Education system, as needed, and provide a summary of the events. Develop and maintain positive relationships with university leaders and staff, legislators, and staff to build and reinforce collaboration. Engage in regular outreach to legislators and legislative staff through periodic briefings and communications. Meet with legislators, legislative staff, and executive branch staff with the CLAO or at the direction of the CLAO.
  • Communications Duties: Develop plans and materials to communicate the university’s priorities and goals. Coordinate the production of promotional materials and/or campaigns. Assist in the preparation and/or editing of publications such as newsletters, articles, and reports for both internal and external audiences. Update and maintain content posted on digital and social media.
  • Assist the CLAO in executing their assigned duties as directed.

Qualifications

Bachelor's degree and two years experience or a high school diploma/equivalency and six years of experience. ( Note: a combination of post high school education and experience equal to six years)

Knowledge of and ability to interpret federal, state, and local laws, ordinances, rules and regulations.

Demonstrated ability to communicate effectively verbally and in writing, with a strong command of grammar

Experience compiling information and preparing reports. Preferably track bills, identify, and monitor specific issues

Ability to adhere to ethical business practices and promote ethical behavior while establishing and maintaining effective working relationships.

Experience in maintaining office operations, handling constituent inquiries, managing schedules, and making travel arrangements and reimbursements.

Ability to train and supervise employees.
