Position OverviewWork Schedule: Monday-Friday, 8 am to 5 pm with occasional evening/weekend hours.

The Digital Media Production Coordinator works closely with Marketing Communications staff to produce high quality photography and video content in support of the University of Kansas brand. This person provides logistical and administrative oversight for photo and video production for the digital media team in support of Marketing Communications objectives. Responsibilities include coordinating photo and video production schedules, managing photo and video inquiries, maintaining project schedules, and managing the KU photo library. The Production Coordinator must be a self-starter and take initiative to provide solid leadership in the area of production management.

Job Description45% Photo and video production management

Manage production schedules, timelines, workflow, and processes for photo and video production by the digital media team. Set up new digital media jobs. Coordinate shoot times and locations with external parties. Manage our weekly project list and deadlines. Check in with team members on project statuses. Manage the KU photo library. Coordinate with photographers to maintain accurate metadata.

30% External facilitation


Manage departmental e-mail accounts. Fulfill requests for on-campus production from external parties. Fulfill external requests for pre-existing video footage and stock photography. Coordinate request for new photo and video production.

15% On-set production assistance

Assist the digital media team on photo and video shoots—making sure shoot objectives are met, setting up and tearing down equipment, and other duties as necessary on set.

10% Other duties as assigned

Attend partner meetings as needed. Attend or lead internal team meetings. Plan, strategize, trouble-shoot, and seek solutions for a wide range of partner, team, and/or vendor issues. Work collegially with staff, partners, and vendors in a team environment. As needed, prepare and present proposals, project-status reports, and other research or evaluations related to digital media.
Position Requirements
  1. This position is required to work on-site.
  2. Occasional evening and weekend work hours required.
Required Qualifications
  • A bachelor’s degree in a related field from an accredited college, university, or school.
  • At least three years’ professional experience in a photo and/or video production environment.
  • Preferred Qualifications
  • A portfolio that demonstrates a clear mastery of video and/or photography production workflows.
  • Prior work experience that required strong organizational skills, attention to detail and managing multiple projects simultaneously.
  • Knowledge video production stages.
  • Experience putting together call sheets and video production timelines.
  • Experience using Adobe After Effects and how it integrates into a video production workflow.
  • Experience on set in commercial or film production environments.
  • Extensive experience with Adobe Photoshop, Lightroom, and Premiere.
  • Experience with metadata best practices and workflows.
  • Experience with Photo Mechanic.
  • Experience with Workamajig or other project-management software or tools, Microsoft Office (or similar). products, and web-based project-management and/or communication tools.
  • Experience optimizing images for print.
  • Experience with digital asset management systems.
  • Experience with Widen.
  • Experience using social media workflows for Facebook, Instagram, and other social media platforms.
  • Experience in advertising, visual communications and/or brand development.
  • Outstanding interpersonal, communication, and presentation skills, as evidenced by application materials and interview.
  • Prior work experience that required adapting to frequent changes in project tactics, creative strategy, and/or deadlines.
