The Grants Manager assists faculty with the financial and compliance management of externally funded grants and contracts, and serves as a liaison and active partner between faculty and other university offices for post-award management. They also serve faculty in departments or interdisciplinary programs within Georgetown College; participate as a member of the cross-cluster Office of Research Services Grant Management Team; and interact with a variety of people within Georgetown College and the wider Georgetown University community.

Reporting to the Senior Associate Director for Finance, with indirect reporting to the relevant Cluster Research Administrator in the Office of Research Services (ORS), the Grants Manager has duties that include but are not limited to:

Grants Management and Administration
  • Prepare monthly reconciliations of all grant and contract expenditures via reporting functions in Georgetown's internal management system, GMS and review with faculty, ensuring all charges are allowable, allocable, reasonable, and necessary; and process journal entries (PAAs) when needed.
  • Determine the need with faculty for effort adjustments, re-budgets, agreement modifications, and no cost extensions; and work with Grants and Contracts Administrator to negotiate those changes with the sponsor.
  • Guide faculty through sponsor progress report preparation and help them navigate the sponsor's reporting system, ensuring all requirements are met.
  • Work with the Sponsored Projects Finance Office (SPFO) and faculty to close out all projects in a timely manner and in accordance with sponsor and university rules and regulations.
  • Review and approve all sub-award and consultant invoices before sending them to SPFO for payment.
  • Track and review cost-share commitments, salary caps, and F&A and fringe benefit rates for compliance with university and sponsor policies.
  • Work with faculty and SPFO to make sure all milestones and deliverables of the project are met, including both technical and financial reporting; and assist SPFO with audit requests as needed.
  • Assist the Grants and Contracts Administrators in compiling information for Just in Time requests or other requests from sponsors in order to issue an award.
  • Maintain and update faculty Other Support and Current and Pending documentation.
  • Review new Notices of Award, sponsor and university rules and regulations with faculty and highlight actionable items.
  • Request pre-award spending codes as needed, and ensure they are accurately set up in GMS.
  • Review and confirm award and budget set-up in GMS; and share worktags with faculty and project staff.
  • Ensure sub-award and consulting agreements are created in line with the Notice of Award and set up correctly in GMS.
  • Set up purchase orders and other reoccurring expenses for the project in GMS.
  • Maintain up-to-date tracking and reports of all projects in the Grant Manager portfolio and cluster.
  • Design, maintain, and continually improve grant management resources - for example, templates, checklists, and sample materials - that will improve post-award administration.
  • Maintain up-to-date knowledge of federal and non-federal rules and regulations.
  • Take regular training and skill upgrading courses as recommended by the Cluster Research Administrator and leadership.


Financial Monitoring, Reporting and Tracking
  • Conduct financial monitoring and provide projections of sponsored research, including IDC accrual and cost share.
  • Manage project staff assignments, PI effort reporting, and associated financial allocations of sponsored research.
  • Perform timely tracking of invoicing, payment authorizations, and reconciliations of sponsored research.
  • Perform timely tracking of the processing of financial corrections and adjustments of sponsored research.
  • Conduct sponsored research reporting, renewals, no-cost extensions (NCEs), other award modifications.
  • Conduct sponsored research/grant close-outs and related certifications.


Qualifications
  • Bachelor's degree (or the skills gained in equivalent work experience)
  • 3 to 5 years of progressively responsible experience in a university or other non-profit grants management role
  • Knowledge of federal and non-federal rules and regulations relating to sponsored grant and/or contract activity - e.g., FAR, CFR
  • Proven experience with financial systems, accounting, and cost accounting standards as they pertain to grants and contracts management
  • Excellent analytical, critical thinking, verbal and written communication skills
  • Ability to establish clear priorities and multi-task in a high-volume setting
  • Ability to foster a collaborative, customer oriented working environment where there are multiple customers with competing priorities
