Graduate Student Senate Program Coordinator – Graduate School

Regular Full-time, Market Range 07

The Vice Provost and Dean of the Graduate School at the University of Tennessee, Knoxville invites applications for the position of Graduate Student Senate Program Coordinator. Salary is commensurate with experience and qualifications.

DUTIES/RESPONSIBILITIES:

This position, under the supervision of the Vice Provost & Dean, serves as the primary advisor for the Graduate Student Senate (GSS) and its various committees.  The person who fills this position will be a liaison between GSS, the Graduate School and other campus offices and leadership.  The GSS Program Coordinator is an advocate on campus for graduate and professional students, guiding and assisting with the development and planning of diverse and inclusive policies, programs, procedures, events, and initiatives.  This position provides training and oversight for GSS in all matters and their adherence to fiscal policy.   Office hours are M-F 8am – 5pm, but this exempt position will require some meetings and events outside of the normal workday schedule.

Duties associated with the position include, but are not limited to:

  • Overseeing and directing the GSS election process each spring, and assisting with the transition/training of GSS leadership, including the creation and implementation of an annual training program/retreat for GSS and its leadership.
  • Building a network of support across campus to assist with the day-to-day activities of GSS.  Helping GSS determine needs and ways to partner with the campus and community.  Assisting in the development and facilitation of opportunities for students to engage with campus leadership across all levels.
  • Working closely with the leadership and members of GSS, as well as the Graduate School Business Manager and Office Manager on budget development, fiscal planning, goal setting/assessment, tracking travel awards, purchasing, fundraising, and charitable efforts.
  • Work closely with GSS, their Special Events Committee, and campus partners to organize and host regular ongoing opportunities for students to participate in diverse and inclusive social events and activities.  Coordinate Graduate & Professional Student Appreciation Week activities across campus. 
  • Coordinate GSS recognition opportunities throughout the year.
  • Assist GSS with communicating and evaluating special events, as well as seeking promotional opportunities with media/campus outlets.
  • Assist the Graduate School with special events, such as receptions, hooding, orientation, DGS meetings, etc.
  • Develop & implement a comprehensive assessment plan of GSS initiatives that utilizes a variety of assessment methods and measures, including regular student surveys.
  • Provide a data driven annual report of all GSS programs, events, and initiatives.


Qualifications
REQUIRED QUALIFICATIONS:

  • Master’s Degree
  • Minimum of two years office experience
  • Experience working with MS Office, proficient working in Excel
  • Knowledge and competency working with diverse groups
  • Ability to provide exceptional attention to detail in written communication, oral communication, and data tracking and analysis
  • Organizational skills necessary to manage multiple concurrent projects
  • Strong interpersonal skills for building and maintaining professional relationships, inside and outside of the institution
 

PREFERRED/DESIRED QUALIFICATIONS:

In addition to meeting the required qualifications, the successful candidate will also have:

  • Two years office experience in a higher education setting
  • Experience working with graduate students in a university setting
  • Knowledge of UT Fiscal Policy and Procedures
  • Experience working with IRIS
  • Experience with event planning
