Responsibilities:

The Administrative Assistant III is responsible to the Executive Vice President/Provost (EVP) for the clerical affairs of the EVP’s office. Duties and responsibilities shall include, but are not limited to, the following:1. Serve as receptionist for the Executive Vice President/Provost; triages incoming communications and appointment requests; schedule face to face and/or virtual meetings or appointments, as appropriate; receives telephone and personal calls, and maintains the EVP’s calendar2. Collect, distribute via Adobe Sign, and store/retain documents needed for curriculum council meetings3. Compile TSUS Board agenda items for EVP/Provost4. Prepare documents/forms needed for EVP/Provost, as requested5. Aid in preparing, distributing, processing, and filing of annual faculty contracts6. Enter budget requisitions, manage invoices and purchase orders, and maintain records of available budget7. Collects, processes and distributes vacation and sick leave requests8. Open, sort, and route EVP’s mail and take outgoing mail to the mailroom or appropriate internal department9. Make travel arrangements for the Provost and complete appropriate forms and vouchers10. Assist at selected LSCO sponsored functions whenever and wherever necessary11. Plan and assist with registration, faculty conferences, meetings, and retreats whenever necessary12. Plan agenda and logistics of faculty convocation and regular faculty meetings and other campus events13. Assist in preparation and proofing of the Catalog, Faculty Handbook and other official publications14. Maintain an up-to-date list of committee assignments15. Maintain an up-to-date list of all active academic and technical programs, including course requirements16. Maintain list of curriculum changes each academic year within the catalog and on the website17. Prepare faculty overload document and paperwork each semester, routing via Adobe Sign18. Maintain LSCO webpages and blackboard channels or pages19. Assist and support Deans and Directors whenever needed20. Assists faculty with textbook selections and syllabus uploads21. Attend required meetings and take minutes within electronic notebook
22. Perform other related duties as assigned by the EVP.

Qualifications:

High school diploma or equivalent required. Graduation from Business College or Associate Degree in a related field preferred. Minimum of three years progressively responsible administrative/clerical work.

Working knowledge of business communications, spelling, grammar, punctuation, and mathematics. Knowledge of the principles of office management. Requires the ability to operate computer systems with a strong proficiency in Microsoft Word, Microsoft Excel, and Microsoft PowerPoint in addition to other standard office equipment. Should be able to type 65 wpm. Able to maintain effective working relationships with students, staff, and faculty. Able to handle internal and public relations courteously and tactfully. Multi-taking required on simultaneous projects required. Must comply with established College policies and standards.
