Organizational Summary:

The Industrial and Management Systems Engineering (IMSE) Department conducts teaching, research and service activities in areas related to Industrial Engineering, Data Analytics, Engineering Management, Operations Research & Management Science, and Manufacturing. IMSE grants bachelor’s (BSIE), master’s (MSIE), and doctoral degrees in Industrial Engineering, a master’s degree in Engineering Management (MSEM), and three graduate certificates. The department is preparing to launch a new graduate certificate program in Engineering Analytics and a master’s program in Data Intelligence (MSDI). The IMSE department currently has the following number of students: 150 in BSIE, 200 in MSEM and MSIE, and 25 doctoral students. Currently IMSE has 14 faculty members; more than half-dozen adjunct instructors, and two staff positions (including one in this posting).

Position Summary:

The Academic Services Administrator position will support/lead a variety of academic activities including student support/success activities (recruitment, admission, advising, class registration, textbook ordering; appointment of Teaching Assistant (TA)/Research Assistant (RA)/OPS/SILA student positions, tuition waiver, graduation, and scholarships, among others); budget tracking; faculty recruitment; faculty tenure and promotion; travel of invited speakers/visitors; expense reimbursements; travel expense report (TER) for faculty; purchasing/ordering of computers, accessories, and supplies; marketing and accreditation functions of the undergraduate and graduate programs offered by the Department of Industrial and Management Systems Engineering; preparing materials to communicate with alumni and friends; organizing departmental events including Senior Banquet, MSEM Banquet, and icIMSE annual consortium meeting, Interns Present scholarship competition, among others; coordinating with industry consortium members. The position will work individually and a part of a team in aspects such as programmatic developments, publish/distribute the annual IMSE magazine, periodic updating of promotional brochures, and posting/updating departmental academic materials to the website in collaboration with communications and marketing support. The position will require visiting and support presentations to recruit STEM high school students and present at USF summer STEM academy.

The individual will be required to work collegially and cooperatively with academic/research/finance/administrative/facilities support staff within the college and also outside of the college (when necessary). The individual will be the first line of support and provide utmost care for current students as well as students who are in the process of seeking admission to ensure their success. The individual will be responsible to support inventory and organization of space allocations for the department. The position will support activities for students, faculty, and alumni leading to student success and departmental growth. Additionally, the individual in the position will hire/supervise federal work study students, and train/guide/monitor the Academic Program Specialist with her/his/their daily activities.

The successful candidate must: be highly collegial and have a strong desire to promote student and faculty success, have high work ethics, have continuous and reliable access to high-speed internet service while away from office, comply with university code of ethics and policies on safeguarding confidential and personal information. Candidate must be able to work with highly diverse internal and external constituents. Additionally, the preferred candidate should be able to analyze information and draw inferences to prepare recommendations. Also, the preferred candidate must be able to interpret and/or evaluate information and/or use analytical approaches; and must be skillful in the use of computers using Microsoft Office suite progams, including use of Microsoft Excel. This position provides face to face support for students and faculty. Thus the candidate should be able to be physically present in the university office during normal business work days/hours during the standard business week

Minimum Qualifications:

This position requires a Master’s degree in education or a field of study related to the academic program, or a Bachelor’s degree in those same fields with a minimum of two years of experience.

Preferred Qualifications:

  • Preferred candidate must demonstrate ability to adopt and learn university business systems like Archivum, GEMS, OASIS, Banner, Degreeworks, etc.
  • The candidate should have good writing/verbal communication skills, and also possess good time management skills.
