Overview

The Change Management Lead for the Enterprise Resource Planning (ERP) System Implementation is responsible for leading change management, communications, training design/delivery, and organizational readiness activities for a cross-functional ERP implementation project that impacts 600+ users across PPPL. In addition to leading the change management workstream for this project, this position is also responsible for identifying the organizational changes and structures required to sustain the new business processes post-project and developing the training programs necessary to support business transformation. This position will work with the project team and organizational leaders to ensure adoption, utilization, and proficiency of the changes that impact employees in the organization to increase benefit realization, value creation, return on investment and the achievement of results and outcomes.

The Princeton Plasma Physics Laboratory is a world-class fusion energy research laboratory managed by Princeton University for the U.S. Department of Energy's Office of Science. PPPL is dedicated to developing the scientific and technological knowledge base for fusion energy. The Laboratory advances the fields of fusion energy and plasma physics research to develop the scientific understanding and key innovations needed to realize fusion as an energy source for the world.



Responsibilities
Change Management:
  • Working with the system implementation (SI) partner, manage and coordinate all change and training activities for the implementation project to ensure that the team meets all goals and objectives
  • Design, develop, and implement change management strategies and plans
  • Lead change management activities and develop THE change management road map
  • Identify and manage resolution of potential organizational and human obstacles including and anticipating organizational challenges, resistance, and risk mitigation plans
  • Co-develop/maintain change management plan including change management objectives, communications plan and stakeholder engagement approach
  • Develop and execute training plans in alignment with ERP Training (documentation of gaps, creation of training deck and demonstrations, execution of train the trainer activities, story boarding for computer-based training, etc.)
  • Execute Change Readiness Assessments and mitigation programs
  • Perform or enable specific change tasks and deliverables, and help facilitate organizational change events when required (for example job impact workshops)
  • Communicates and educates user community on administrative system progress, objectives, and requirements to include a means by which to evaluate and ensure organizational readiness
  • Perform/assess stakeholder and change impact analysis identifying potential project impacts/risks
  • Engage often with business teams and change agents providing information and detailed frameworks to ensure necessary activities to minimize organizational risks
  • Spearhead initiatives to develop employees' understanding and acceptance of impacts on specific job roles, policies, technology impacts and business practices

Communication:

  • Website Maintenance: CFO website, ERP project's internal website
    • Update in real-time with new newsletters, emails from leadership, project status
  • Coordinate with the workstream leads and business SMES to hold demos, prepare key business readiness messages and communication
  • Develop a “what's changing” communication with business process owners and workstream leads to f for dissemination
  • Socialization of the Change Enablement plan to support the ERP rollout including communications to leadership and steering committee communications related to change management
  • Ensure effective communications of all the changes which means working closely with the Lab Communications
  • Identify and maintain key stakeholder matrix and audience analysis
  • Ensure consistent presentation of the project in all media, presentations, websites, memos, speeches, and print
  • Coordinate the change network responsible for communicating the change into the organization (i.e. - Extended Transition Team, Executive Communication Program)
  • Facilitate meetings, deliver presentations as required

Other Related Responsibilities:

  • Manage train the trainer process/activities
  • Create/manage measurements/processes to track adoption, utilization, and proficiency of users
  • Work with team leaders, change agents, and functional work streams to execute approaches and complete deliverables
  • Prepare the impacted end users for the ERP implementation
  • Create/implement a stakeholder meeting schedule for the program (formal, informal, one-on-ones, etc.)
Qualifications

Education and Experience:

  • Bachelor's degree with appropriate project experience in Business, Organizational Development/Management or another business-related field required.
  • Master's degree in similar areas or related fields preferred.
  • Certificate in change management preferred.
  • Must have in-depth, hands-on demonstrable related experience and ability to provide detailed examples of work and work plans
Knowledge, Skills and Abilities:

  • Must have demonstrable experience in financial and supply chain management within ERP systems.
  • Demonstrated experience in leading implementation for medium-to-high complexity change management projects and communication work for large scale business transformation efforts for 600+ impacted users across various levels
  • Experience with Oracle ERP is highly preferred
  • Knowledge of the process areas being transformed and an understanding of how the process, including support systems, integrates with other processes and initiatives
  • Exhibits effective team skills and expertise in engaging individuals, teams, and leadership to effectively catalyze and influence change as well as foster collaboration
  • Strong knowledge of change management principles and methodologies
  • Must have hands-on experience developing training plans and communication plans for large scale programs
  • Experience effectively managing multiple, competing priorities with high attention to detail
  • Strong analytical and good listening skills
  • Ability to effectively coach and mentor others
  • Ability to make strong decisions at the project team level and escalate the decisions that cannot be resolved on a timely basis
  • Strong verbal and written communication skills with the ability to articulate complex ideas in easy-to- understand business terms to all levels of management
