School of Medicine, Office of Medical Education has an opening for a full-time University Staff (unclassified) Academic Services Program Manager/ORE Director of Admissions and Recruitment position.

Nature of Work

Jobs in this career family provide direct professional support for the teaching and/or educational service mission of the university. Functions include academic advising/counseling, student personnel administration, recruitment and admissions, registration, financial aid, faculty affairs, library services, curriculum administration, and others involving direct support of the educational mission of an academic unit.

Program Directors are responsible for the ongoing leadership and oversight of a program or function, including the development of strategies and processes which contribute to the University and/or campus mission and accountability for services provided.  These positions typically do not supervise others.

Supervision Received:

Reports directly to the ORE Business Services Program Director, with dotted line reporting to the Associate Dean for Research Education. 

Supervision Exercised:

No direct supervision is employed. 

Position Responsibilities:

Recruitment (20%)

    Develop state-of-the-art recruitment strategies, evaluate strategies, and modify as needed; ensure strategies are inclusive of underrepresented and/or marginalized groups.Foster communication with pipeline institutions to include updated and accurate information on programs, program requirements, admissions policies and procedures, and program prerequisites.Communicate regularly with college academic advisors throughout the state. Provide statistical information on a regular basis to pipeline institutions about the number of applicants, acceptances, and matriculates from their respective institutions.Create, evaluate, and update marketing materials and approaches, and outreach activities. This includes updating all websites with recruitment and application content.
Diversity and Inclusion (20%)

    Coordinate with the School of Medicine Office of Diversity and Inclusion, in all matters related to student diversity; Use an emancipatory approach to integrate elements of Diversity, Equity, and Inclusion into operations of the Office of Research Education.
Admissions (20%)

    Work collaboratively with the Associate Dean of Research Education, Research Education Program Director, Program Directors, Program Faculty and Program Administrators to provide leadership for a holistic admissions process, from recruitment to matriculation, to ensure a high-quality, diverse student body.Represent the Office of Research Education on campus committees as related to Admissions.Facilitate development and regular review of policy and procedure manuals for admissions and admissions processing.Work collaboratively with internal and external stakeholders to ensure the School of Medicine PhD Programs are a top choice for potential students.Plan and execute the recruitment interview schedules for all PhD Programs. This includes conducting campus tours and highlighting to prospective students the opportunities that are available on the state-of-art Anschutz campus.Coordinate with the School of Medicine Office of Diversity and Inclusion to provide Implicit Bias training the ORE PhD Program faculty who serve on Admissions Committees.
Matriculation of Students (20%)

    Work collaboratively with the School of Medicine, Associate Dean of Research Education, Research Education Program Director, Program Directors and Program Administrators to oversee the development, enhancement and coordination of new student orientation.Communicate effectively with faculty and other campus constituencies (e.g. Student Financial Aid, Records & Admissions, Diversity Office, Bursar's Office, Graduate School) about admissions standards, deadlines, procedures and processes.Research and provide communication regarding up-to-date theories and emerging trends that facilitate retention and success for all students.Develop, implement and monitor policies and procedures for processing and maintenance of student application records in compliance with national, state, and university regulations/policiesProvide training for staff on all admissions related activities, including the process of matriculating students in CU-SIS.Manage the process for verifying compliance and background checks for all accepted students.Coordinate with the University International Office to ensure all requirements are met for international students.Oversee the development, enhancement, and coordination of all new student orientation programs to ensure timely and accurate dissemination of orientation information.
Reporting (10%)

    Provide needed data by utilizing CU-SIS and CU Data to create reports for faculty and staff and as requested for outside agencies and/or entities.Write appropriate administrative reports. Maintain demographic and statistical profile concerning admissions, matriculation, and diversity.
Additional Duties as Requested (10%)

    Stay apprised of regulations and manage all issues related to Title IX.

Qualifications
Minimum Qualifications:

  • A bachelor’s degree in education, management, counseling, public administration, higher education administration, business, social science, liberal arts, communications, or a directly related field from an accredited institution.  
  • Knowledge and 5 years of experience with student admissions and recruitment. 
Required: Applicants must meet minimum qualifications at the time of hire.

PLEASE NOTE: Candidates will be responsible for travel expenses related to the interview process and any relocation expenses, if applicable.

Preferred Qualifications:

    Graduation from an accredited college or university with a Master’s degree in education, management, counseling, public administration, higher education administration, or related field is required. 
  • Experience working in a school or college and with faculty, preferably within a health sciences institution. 
  • Experience with integrated student information systems. 
  • Experience championing student diversity initiatives. 
Knowledge, Skills, and Abilities:

    Ability to communicate effectively, both in writing and orally.  Ability to establish and maintain effective working relationships with employees at all levels throughout the institution. Outstanding customer service skills. Demonstrated commitment and leadership ability to advance diversity, equity, and inclusion. Exemplar performance in planning, implementing, and administering student admissions, support services and diversity activities. Excellent interpersonal, organizational, communication and problem-solving skills. Commitment to diversity in all its forms and sensitivity to applicants and other individuals from various cultural, ethnic, geographic, and experiential backgrounds. Knowledge of enrollment management, including recruitment, admissions processing, new student orientation/registration records, and retention, convocation. Ability to work both independently and collaboratively. Proficiency in Microsoft Office applications. 
Salary and Benefits:

The salary range (or hiring range) for this position has been established at $51,677 - $69,247

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.
