The School of Medicine, Office of Medical Education has an opening for a full-time University Staff (unclassified) Student Services Manager/Student Affairs Manager position.

Jobs in this career family support students' emotional and physical well-being and intellectual, cultural and social development outside the context of the formal instruction program or traditional academic unit.  Functions include student counseling, career guidance, residence life, multicultural affairs, support of student activities and organizations, recreation services and intramural athletics administration.

Managers are responsible for the day-to-day operation of functional work units, including the Development and implementation of processes consistent with college, school or departmental strategies and processes and the supervision of professional and support staff.

The Student Life Manager will be responsible for the assignment, timeliness, and soundness of the work product of the direct reporting staff. The authority to hire, evaluate, resolve grievances and initiate disciplinary action will be part of the supervision exercised.

Examples of Work Performed:

Events, Relationship, and General Student Affairs Management: 30%

  • The position holder will oversee all major events in the Office of Student Affairs including orientation for the entering class, the Matriculation Ceremony, key events for the student governance group, Medical Student Council, the annual Match Day Event for the graduating senior class, Graduation events, and various Award and recognition ceremonies. 
  • The position holder will serve as one of the primary contacts to the campus wide graduation steering committee. 
  • The position holder will work closely with the Associate Dean for Student Life, the Assistant Deans for Student Affairs and Student Admissions and the Director of the Office of Student Life to create the yearly events calendar for all events functions. 
  • The position holder will collaborate with a diverse constituency, including external and internal offices such as the School of Medicine Dean’s Office, the Development Office, the Alumnae Office, Medical Student Council, the Office of Diversity and Inclusion and other faculty and student groups.  The position holder will be able to independently represent the Associate and Assistant Deans in the planning of events related to these diverse groups.
  • The position holder will work closely with the Director and the Assistant Deans to manage the orientation events for entering medical students. 
  • The position holder will be expected to negotiate contracts with external vendors, to ensure compliance with all guidelines and the overall mission of the University, and to advise the senior leadership regarding state and university regulations and procurement policies. 
  • Direct effective processes for collecting student data; oversee input and maintenance of accurate student grades and/or attendance, insuring adherence to FERPA and nationally recognized standards for student record keeping.
  • Ensure exceptional customer service and administrative support to students and the Associate and Assistant Deans in the Office of Student Life
  • Provide leadership and supervision, training, direction, problem solving, team building and evaluation of staff in the Office of Student Life
  • Work as an advocate for students and helps identify and address ways to improve the student experience from application through graduation. Act a resource for and liaison between the Office of Student Life and other SOM offices/services
Supervision of Student Affairs Professional Team: 25%

  • Oversee and coordinate the front-line customer service activities of office staff, to include the provision of in-person and telephone information services to faculty, students and other members of the public
  • Supervise six (6) exempt full-time professionals that includes annual evaluations, quarterly coaching sessions, progressive discipline measures, conflict resolution job description management, recruiting, and onboarding as appropriate.
  • Provide leadership and supervision, training, direction, problem solving, team building and evaluation of staff.
  • Develop and set priorities for staff, working with the leadership team
  • Inspire a collaborative spirit and encourage faculty and staff to think of personal responsibilities in the context of the whole office function.
  • Provide high-level oversight for SOM Tutoring program, including working with HR to hire student tutors annually, sign off on time cards, and support the Sr. Professional with policy and procedure. 
Management of Student Affairs Budget: 25%

    Manages the operating budgets of the Student Affairs Office. Analyzes and forecasts expenditures for Student Affairs in order to advise the Assistant and Medical Education Leadership regarding budget.Makes decisions about appropriate use of speed types and funds with an understanding of complex financial reporting system.Understanding of the Concur system and knowledge of appropriate state and university regulationsManages other Student Affairs staff who have P-Card access in reconciling their accounts monthly and making appropriate decisions regarding which components of the operating budget are to be used for the expenses.Produces monthly and/or as needed reports in order to provide guidance and to make recommendations regarding the status of the budget.Manages and coordinates the budgets for student projects, including Slay Grants, Innovations in Medical Education, and other ad hoc student projects.  Advises Compass Coordinator and Academic Services Intermediate professional via approval process for requested student reimbursements and approved travel.
Administrative Leadership Support: Office of Student Life & Admissions – 20%

  • Provide leadership and supervision, training, direction, problem solving, team building in conjunction with Program Manager of Admissions.
  • The position holder will work closely with the various Deans and Direct Supervisor to ensure efficient work flow in the office, act as a primary resource for communication with applicants and other constituents.
  • The position holder will provide leadership and mentorship for other staff in the office and will participate in a team effort to insure the smooth operations of the office.
  • The position holder will serve as an expert consultant regarding state and university rules and regulations regarding events
  • Participate and present at OME quarterly meetings.
  • Performs other duties as assigned to support various initiatives


Qualifications
Minimum Qualifications:

  • Bachelor's degree in business, management, accounting, education, communications or a field of study directly related to the work assignment.
  • Three (3) Years of progressive, full-time student affairs experience
  • Experience with event management
  • Experience with procurement and financial systems, policies and procedures
  • Two and one half to five years (2.5-5) of recent supervisory experience of full-time professional staff, inclusive of the authority to hire, evaluate, resolve grievances and initiate disciplinary action for full-time professional staff.

Preferred Qualifications:

  • Master’s Degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution
  • Experience working with graduate level students
  • Experience with working with student leaders
  • Experience working with medical education
  • Two to three (2-3) years of experience with university procurement and financial systems, policies and procedures
  • Five (5) years of proven progressively responsible, relevant, and successful administrative experience working as a professional in an accredited higher education environment, including at least three years working in higher education administration or similar student services related positions
Competencies, Knowledge, Skills and Abilities:

    Ability to communicate effectively, both in writing and orally.
  • Demonstrated ability to manage and lead staff to inspire teamwork and achieve established goals
  • Strong communication and interpersonal skills
  • Must have advanced proficiency with Microsoft Word, Excel, Outlook, database manipulation, Internet searches, and email (including experience with shared inbox management)
  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.Outstanding customer service skills.Demonstrated commitment and leadership ability to advance diversity and inclusion.

Salary and Benefits:

The salary range (or hiring range) for this position has been established at $53,830 to $68,472 

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.
