Departmental Overview

The ASUC Student Union is the campus "living room," offering everything from co-curricular opportunities to fun, creative activities. It serves all students and seeks to create an inclusive campus community, thereby enhancing the student experience at UC Berkeley. To this end, we provide quality services and programs that foster experiential learning opportunities and ensure a sustainable organization. We derive income from student fees, retail operations, vending, food service, and a variety of self-operated units such as the Art Studio, Creative Lab, and Events Services. We manage and operate multiple facilities including the Lower Sproul Student Union Complex, Anthony Hall and Anna Head Alumnae Hall, which house the ASUC student government, Graduate Assembly, Multi-Cultural Center, Public Service Center, LEAD Center, SERC, Basic Needs and much more. Finally, we provide financial and accounting services to approximately 25 ASUC Government Officers, Graduate Assembly Executive Officers, and over 1,400 student groups and 40 student publications. The Student Union is a department within the Division of Student Affairs and reports to the Dean of Students.

The Finance department under ASUC Student Union is responsible for the management of Student Union budgeting and forecasting; reporting and analysis; accounting; commercial contracts and sponsorships; accounts receivable; and financial records; as well as adherence to external and internal finance and accounting policies and procedures. The Finance department also provides accounting and financial process support to the Associated Students of the University of California (ASUC), a non-profit 501(c)3 comprised of student government officials and student organizations. In support of the ASUC, the Finance department manages the accounting software of record; accounts payable and accounts receivable, vendors records; issuance of tax documents and IRS reporting; allocation of budgets; the annual audit; and monthly financial reporting. It also manages the financial portion of the web-based student organization management software that allows student organizations to view their finances and to make financial requests, as well as administers finance based training to student organizations related to this software and process.

Responsibilities

The Financial Services Coordinator supports both the ASUC Student Union campus department and the ASUC 501(c)3 non profit. The Financial Services Coordinator is responsible for processing financial requests and disbursements in a timely and appropriate manner. Additionally, the Financial Services Coordinator is responsible for assisting partner departments in understanding the ASUC processes as they relate to cash, credit card, and other financial disbursement transactions. This involves the processing and servicing of a variety of operational, personnel, and financial transactions and services. It also includes processing accounts receivable, accounts payable, collections, data collection and data entry, analysis, review and control, customer servicing, and reporting.

This position implements decisions on department policies and resolves customer service issues. Experience with professional financial services and a basic understanding of industry practices and campus policies and procedures is preferred. This position demonstrates good judgment in obtaining solutions and performs a full range of finance responsibilities with supervision.
  • Reviews and processes standardized financial data and transactions. Applies basic accounting concepts to research financial discrepancies and tax implications and compliance with external regulations and internal policies. These responsibilities include but are not limited to: processing deposits and the daily safe count; reviewing and processing requests for distributions to students and vendors; posting disbursements; preparing tax withholding and issuing tax documents to students, vendors, and the IRS; handling returned and stale dated checks; processing stop payments; issuing invoices to clients; processing and posting payments from clients; preparing monthly journals; entering data into and reconciling data within accounting, student organization management, and event related software.
  • Assists with ensuring that financial processing functions, which may include accounts payable, accounts receivable, purchasing, recharge billing, gift accounting, cashiering and collections, are performed with accuracy and that daily operations run smoothly. These responsibilities include but are not limited to: adhering to Accounts Payable/Accounts Recievables (AP/AR) policies and procedures; completing forms related to accounts payable and accounts receivable (AP/AR); ordering supplies through the ASUC's bank, coordinating with secure cash transportation services; and maintaining and reconciling credit card accounts.
  • Effectively provides customer service and resolves inquiries and concerns for internal and external clients. These responsibilities include but are not limited to: responding to customer phone and email inquires; resolving billing issues with clients; resolving request issues with students; contacting clients related to aging collections; and distributing communication for students, other campus departments, and external entities related to policies, procedures, and frequently asked questions.
  • Participates in audits of internal records and makes recommendations for changes as needed. Ensures that the appropriate internal controls are addressed, maintained and strengthened to protect University resources.
  • Prepares reports to include summaries of accounting transactions for management review and decision-making. Under supervision, researches and gathers information from a variety of sources; prepares and summarizes information and reports relative to new services, regulatory compliance issues, and support activities.
  • Other duties as assigned.

  • Thorough knowledge in administrative procedures and processes including word processing, spreadsheet and database applications.
  • Requires good verbal and written communication skills, active listening, critical thinking, attention to detail, organizational, and time management skills.
  • Strong interpersonal skills and the ability to function effectively as a member of a team.
  • Ability to adapt to changing priorities.

Preferred Qualifications
  • Entry level knowledge and understanding of internal control practices and their impact on protecting University resources.

Salary & Benefits
