Position Description:
The Federal Relations unit within UCLA Government and Community Relations (GCR) is responsible for maintaining relationships between UCLA and members of Congress, congressional staff, agency personnel, congressional committees and caucuses, business and industry leadership, higher education associations and professional societies. The unit promotes UCLA's research, education, and public service activities in an effort to increase federal support for the campus and to expand awareness of UCLA in Washington, DC.

The Administrative Assistant will provide administrative, operational and programmatic support to the Federal Relations unit and will assist the GCR office as needed. This individual will support the federal relations unit to ensure a smooth workflow among department, programmatic, and administrative activities and interactions with campus units, staff, legislative and agency staff, community constituents and volunteer advocates. Duties include but are not limited to: assisting with mailings, scheduling meetings, data entry, word processing and other computer and telephone duties, filing, taking accurate and clear messages, monitoring expenses, reconciling monthly ledgers, preparing travel vouchers, ordering supplies, processing reimbursements, preparing meeting memos, managing lists and data bases, performing research, conveying information tracking legislation, managing the unit's social media presence in coordination with the GCR social media lead, drafting letters and other correspondence, and planning events. This individual will also attend meetings on behalf of Federal Relations staff as appropriate to take notes and report back on meeting activities. In addition, the Administrative Assistant will interact with other internal and external constituents as appropriate; provide programming assistance on campus events for legislators; and undertake special projects as assigned.
