The Sylvester Comprehensive Cancer Center has an exciting opportunity for a Full-time Generalist, Faculty Support for Recruitment and Onboarding (remote) to work in the UHealth Campus. The Generalist, Faculty Support provides support for faculty and staff onboarding processes, to include developing the standard operating procedures for this process and maintaining an electronic timeline for tracking new recruits and staff. This role also coordinates relocation of new faculty and staff recruits, develops new job descriptions, drafts, edits and processes offer letters.

Primary Responsibilities:

  • Coordinate all SCCC recruitment efforts for assigned faculty positions of all academic ranks, the majority of these positions will work in cancer research (lab and clinical) and the three SCCC research programs (cancer control, cancer epigenetics, and tumor biology), as well as positions providing hematology and oncology patient care. We currently work with over 13 departments on co-recruiting efforts.
  • Oversee and coordinate virtual and/or on campus recruit interviews, including flight, hotel and car reservations, tours of the center/department/laboratories, and lunch/dinner interview activities when applicable. Must also coordinate all arrangements for recruit seminars including advertising, seminar set up and catering. Must escort each recruit during on-campus interviews when applicable.
  • Expected to be on call 24 hours a day, 7 days a week during the time when a recruit is visiting. They must be available to assist the recruit with any emergency that may arise such as rescheduling of a flight, transportation issues to and from the airport, hotel problems and/or if they need to go to the hospital.
  • Meet with the SCCC Director, Division Chiefs, Committee Chairs, and key stakeholders on an ongoing basis to develop strategies for SCCC recruitment efforts. Including but not limited to managing search committees and researching potential candidates to put together informational packets for the committee members. Review resumes and subsequent interview process with respective committee chair and division chief. Prepare candidate evaluation portal and share evaluations with appropriate parties.
  • Ensure relevant recruitment documentation is distributed to applicants in a timely manner and in accordance with University of Miami guidelines. Documents include travel arrangements, detailed recruitment agenda, CME documents for seminars, consent and expense reimbursement forms.
  • Responsible for maintaining digital recruitment database, which is used to track information relevant to new and potential candidate recruitment visits, agendas, CV’s, evaluations, grant information, offer letters and recruitment packages, etc.
  • Gather, manipulate, and analyze data from multiple sources to track recruitment project milestones. Prepare leadership reports with real time data regarding recruits hired to date, leadership roles, equipment and lab space, professorships, and institutes. These reports will be presented at leadership meetings and used for presentation.
  • Responsible for managing SCCC recruitment budget relating to daily operations, such as; maintaining expense tracker, processing purchase orders, split costs, reconciling travel card, submitting faculty reimbursements and candidate expenses.


Onboarding Activities:

1. Follows standard operating procedures for the onboarding process of new recruits and staff at Sylvester.

2. Support physician onboarding tasks to include tracking progress of the new hire through each step of the pre-hire process to make sure the physician has the tools needed to be successful.

3. Acts a liaison between onboarding physician and appropriate academic Department or Central Office (such as Faculty Affairs, Physician Recruitment, SCCC facilities, Credentialing Office, etc)

4. Respond to new faculty inquiries, interaction and correspondence regarding questions pertaining to onboarding which may include providing summary of benefits and/or connecting them with HR Total Rewards office and other SCCC and or UHealth areas of interest.

5. Communicates with candidates and appropriate offices on the status of new faculty

6. Assists with any onboarding related inquiries

7. Coordinates clinical leadership introduction meeting with Sylvester’s leadership team

MINIMUM QUALIFICATIONS

  • Bachelor’s Degree in relevant field

  • Minimum 2 years of relevant experience

  • Ability to accurately prepare and maintain records, files, reports and correspondence

  • Ability to communicate effectively in both oral and written form

  • Ability to maintain effective interpersonal relationships

  • Skill in completing assignments accurately and with attention to detail

  • Ability to recognize, analyze, and solve a variety of problems

  • Ability to process and handle confidential information with discretion

  • Ability to work independently and/or in a collaborative environment

  • Proficiency in computer software (i.e. Microsoft Office)

  • Any appropriate combination of relevant education, experience and/or certifications may be considered.
