Position Title:Office Support Specialist (12781) Occupational Area:04 Department:840477 - Vice Chancellor for Student Affairs Job Posting Description:

Illinois Residency Requirement: This position requires current Illinois residency to apply.

The Office Support Specialist provides organizational and administrative support for the Office of the Vice Chancellor for Student Affairs. The selected candidate will serve as a liaison for the Vice Chancellor with reporting departments, faculty and staff, students, and the general public. Duties for the Office Support Specialist will include:
-Keep accurate calendar scheduling for the Vice Chancellor for Student Affairs (VCSA) and department staff.
-Plan and organize arrangements for receptions, dinners, etc. hosted by the VCSA. Manage event registrations. Serve as liaison to MUC Event Services and/or outside vendors.
-Coordinate unit projects, including Phi Eta Sigma Honor Society. Provide project assistance for the New Student Transitions Coordinator.
-Serve as VCSA resource person for Student Affairs units, University units, students, and the public.
-Independently research and compose correspondence and communication for the department including personal preparation of confidential materials. Provide administrative support for division-wide committee work.
-Develop, update, maintain and retrieve administrative and personnel files; maintain department records in compliance with University Records Management System; update VCSA website in Cascade as needed; maintain division-wide distribution lists.
-Process department p-card transactions; prepare Purchase Requisitions, including requesting quotes and contracts from vendors, and any subsequent revisions. Prepare and update Accounts Payable payment forms to ensure vendors are paid promptly.
-Coordinate and organize meeting materials and reports for VCSA staff.
-Coordinate and make travel arrangements for VCSA and Office of VCSA staff.
-Maintain employee time sheets and complete Banner time entry for department professional staff.

Additional duties and responsibilities may be assigned based on the needs and goals of the department.

Minimum Acceptable Qualifications:

1. High school graduation or equivalent.
2. One (1) year (12 months) of work experience comparable to the second level of this series.
3. Any one or any combination of the following, totaling two (2) years (24 months) of experience in the categories below:
a. Work experience performing office/clerical activities, including use of computer systems.
b. College or university coursework in any curriculum:
-Twelve (12) semester hours = six (6) months.
-Twenty-four (24) semester hours = twelve (12) months.
-Thirty-six (36) semester hours = eighteen (18) months.
-Forty-eight (48) semester hours = twenty-four (24) months.
