About the Institute:

The Institute is an innovative, interprofessional graduate school in Boston, MA that prepares health professionals and scientists to advance care for a diverse society through leadership in education, clinical practice, research and community engagement. The Institute has 1,636 enrolled students and offers programs in Genetic Counseling, Communication Sciences and Disorders, Health Professions Education (MS and PhD), Nursing, Occupational Therapy, Physical Therapy, Physician Assistant Studies, and Rehabilitation Sciences (PhD). Job Summary:

The Clinical Education Placement and Systems Associate will be responsible for establishing and maintaining departmental systems and procedures in the clinical year; engaging in the ongoing recruitment and retention of clinical sites and preceptors; implementing and maintaining a policy and procedure manual for the department; overseeing administrative aspects of the admissions process and co-chairing the department’s admissions committee; and working closely with the Program Director, Medical Director, and advisory committee to identify and implement efficiencies and new initiatives.

Job Duties:

Clinical Year Administration 60%

  1. Establish, coordinate, and monitor systems to ensure efficient and timely placement and monitoring of all PA students in their 2nd year clerkships.
  2. Collaborate with the clinical team to recruit and maintain clinical sites and preceptors including, but not limited to
    • develop and initiate a marketing plan for recruitment.
    • establish and maintain a process for ongoing communication and feedback with sites and preceptors.
    • design and implement a preceptor onboarding and continuing professional development program.
  3. Assist in the implementation and evaluation of innovative models of clinical education.
  4. Identify sources of data related to student, preceptor, and site performance and create reports for the clinical team, Program Director, and Medical Director.
  5. Coordinate process for ongoing assessment of clinical year outcomes consistent with approved curriculum and accreditation standards.
  6. Recommend, build, and maintain innovative systems to meet the clinical education data management and reporting needs of the Department of PA Studies.
  7. Coordinate and participate in meetings at various clinical sites.
Department Administration 40%

  1. Coordinate with the Program Manager, Director, and Associate Director to create a policy and procedure manual for the department.
  2. Collaborate with the Program Director to establish efficiencies in and maintain documents for the department’s ongoing self-assessment process and accreditation.
  3. Review and continually update department webpages to ensure compliance with accreditation and Institute requirements.
  4. Co-chair the department’s admissions committee.
  5. Manage communication with applicants and potential students.
  6. Prepare regular reports from admissions and matriculation data for use in ongoing program assessment processes. 
  7. Assist Program Director, Medical Director, and advisory committee in identifying and implementing new department/program initiatives.
  8. Assist with and participate in program events and activities as needed and requested.


Qualifications
Education and Experience:

Candidates must demonstrate excellent interpersonal and networking skills and the ability to simultaneously manage multiple complex projects. A Master’s Degree in Healthcare Administration or similar degree is strongly preferred.  Previous work in a healthcare administration and higher education is a plus.

Administrative Skills:

Creates and maintains a learner-centered environment in the clinical education department, with a focus on exceptional customer service in responding to students, preceptors, and clinical sites.    Must possess outstanding interpersonal skills and the ability to communicate across multiple constituencies, including students, academic faculty, administrators, and practice partners.   Must be independent and outcomes driven with a demonstrated ability to assume initiative and to be self-directed.

Technical Skills:

Computer proficient, MS Office experience very helpful. Familiarity with data base management and report construction.   Systematic project management skills.  Ability to develop and maintain data management systems and processes. Excellent writing skills. Strong spelling and proofreading skills.
